Purpose:

The Project Assistant is tasked with supporting Project Manager, Project Engineers and the entire project team in their efforts to meet and exceed customer expectations. This frontline role is critical in the deployment of WorleyParsons’ vision: “to be the preferred global provider of technical, project and operational support services to our customers, using the distinctive WorleyParsons culture to create value for our customers and prosperity for our people”.

Responsibilities:
Ensure adherence to WorleyParsons and Syncrude standards (procedures, brands, templates, etc.).

Assist Project Manager and team where necessary.

Understand nature and need of the discipline and provide support as needed.

Set up of projects including project award sheets, file index, filing and close out procedures.

Meetings – book conference rooms, equipment, send invites, arrange lunch and prepare agenda. Attend, take minutes, prepare and distribute minutes, follow up on action items.

SharePoint: create and maintain Intranet web page with support from the designated PIM and ICT Designates (pictures, announcements, documents, org charts, etc.).

Prepare and process routine documents, prepare reports / studies, responsible for preparation and coordination of key documents. Arrange for printing of documents as required with 3rd party printing company.

Travel – book, distribute itineraries, resolve issues, train other coordinators if required.

Reception relief

Lend support to other Project Assistants when required and/or other project assistants as needed.

Safety – Near miss forms, first aid training, where to find the first aid kit and building evacuation procedures. Safety is everyone’s business.

  • Preparation of operational documents for long term storage

  • Works to timelines: prepares and follows schedules productively
  • Identifies problems, evaluates information and defines appropriate, realistic solutions
  • Shall be able to adapt to, or offer solutions when a fit-for-purpose solution may require a change to the standard procedures.

Leadership:

  • Acts decisively, meets challenges head-on
  • Maintains poise in familiar and unfamiliar situations
  • Front line technical resource for department

It is important for the Administrative Services staff to stay on top of new training initiatives by WorleyParsons. Administrative staff well versed in new software and office procedures serve as vital guides for individuals around them and any team members they support. Having a PA that adopts and learns new offerings like EMS and change management procedures enables the PM and PE to focus on the project and the PA can handle all the details of making new offerings work together for the Project Team.
