Job Summary:
The Administrative Assistant provides confidential administrative services and supports the day to day administrative requirements of the operational area.
Job Duties:
Receives, distributes, and coordinates incoming mail, materials and information as well as responding to routine correspondence from internal and external stakeholders.
Answers or redirects internal and external phone calls providing general information and status updates.
Develops and maintains the operational area’s information base including reference materials, publications, internal databases, and filing systems.
Researches issues/ situations and compiles/summarizes the information gathered from internal and external stakeholders.
Prepares, drafts, types and updates a variety of correspondence, reports, and materials for internal and external stakeholders.
Develops, maintains and tracks confidential statistics, records, reports, and internal/external communications.
Coordinates and/or monitors the operational area’s budget for management approval, including monitoring monthly expenditures; ensuring invoices are verified, coded, approved and paid; and authorizing routine payments.
Orders and maintains office supplies, equipment, reference/library materials and subscriptions.
Schedules, coordinates and organizes meetings, appointments, seminars, conferences, etc. including travel arrangements and logistics for management and staff.
Maintains membership in various operational or planning committees as required.
Performs other related duties as assigned.
Qualifications:
Grade twelve (12) plus completion of one (1) year post-secondary education in an administrative assistant program
A minimum of three (3) years of office administration experience
Typing speed of 45 w.p.m. (less than 5% error rate)
Proficiency in the use of integrated computer software (Microsoft Office Suite and Internet tools) in a Windows environment
Knowledge of administrative techniques, procedures and principles
Basic knowledge of accounting and budgeting principles
Ability to take initiative when solving problems
Ability to provide detailed and accurate work
Ability to handle confidential and sensitive information and exercise discretion in providing information to others
Ability to communicate effectively, both verbally and in writing
Ability to provide superior customer service in sometimes confrontational situations
Ability to plan and organize workloads and meet tight deadlines
Ability to work independently and in a team environment
General knowledge of the Workers Compensation Board operations and legislation would be an asset
