Woodbine Entertainment Group is seeking an Administrative Assistant within our Hospitality Department at Mohawk Racetrack. Reporting to the Manager – Hospitality Finances and Admin, the Admin Assistant is responsible for providing administrative support for the department, ensuring all admin tasks are completed within a timely manner.

In this role, your responsibilities may include but are not limited to:

Administrative Responsibilities
• Provide administrative support to Manager, F&B Finances and Administration, including memos, letters, payroll summaries and other correspondence
• Maintain departmental files to ensure that all required information is easily accessible by management, yet treated confidentially
• Develop and maintain spreadsheets used to outline departmental procedures
• Process F&B invoices for payment by AP
• Provide department head(s) with financial and inventory reports/information, retrieved directly from Stratton Warren System as requested
• Work with Stratton Warren inventory and order sheets; additions, deletions, movements
• Maintain departmental statistical records to be used for comparative and budget purposes
• Assist with the administrative preparation of operational schedules and meetings
• Assist with the development of new menus and product implementation; assist with the modification and creation of recipes to detail annual changes
• Assist with the entry of inventory figures into Stratton Warren System, as required
• Assist in the collection and preparation of basic data needed for operational analysis and special reports by Manager, Food and Beverage Finances and Administration
• Assist Manager and other departmental staff with daily assignments

Communication Responsibilities
• Communicate with department head(s) with regard to any employee concern or issue brought to your attention
• Maintain an open line of communication between management regarding any administrative issues
• Schedule management appointments as required
• Communicate with department head(s) regarding any pertinent meetings or issues that he/she may have overlooked
• Ensure that all applicable notices received are distributed/posted for departmental view

Qualifications: Be All In!

We are seeking talented individuals with:
• Skilled in Excel, MS Word and AS 400 based system, such as Stratton Warren
• Experience with PC network and associated business software an asset
• Minimum grade twelve (12) education
• Detail oriented, well organized with aptitude for writing
• Minimum two (2) years in a Food and Beverage environment as asset
• Knowledge of electronic point of sale system also an asset
