Qualifications:

  • Grade 12 (Manitoba Standard).
  • Successful completion of secretarial program or course of study or equivalent with formal training in typing, clerical functions, basic stenography skills and computers (Microsoft – Excel, Word, Outlook, Power Point, Access).
  • Specific training related to the use of medical terminology.
  • Two years related experience in a health-care setting.
  • Experience working with ESP (payroll system) and SAP would be an asset.
  • Well-developed personal computer skills, including word processing (Word), spreadsheets (Excel), and communication (Outlook).
  • Demonstrates knowledge of:
    • The vision, values, goals, and objectives of the Winnipeg Regional Health Authority and the Centre
    • The Centre’s Mission Statement, Residents Bill of Rights and Code of Conduct
    • Personal Health Information Act, Protection of Persons in Care Act, Workplace Hazardous Material Information System (WHMIS), Principles of Routine Practices (Universal precautions) and other legislated acts.
    • Knowledge of general office practices and procedures
    • Knowledge of the operation of modern office equipment
    • Knowledge and understanding of philosophies and terminology of Social Work
  • Ability to read, writes, speak and understand English with a superior understanding of grammar, spelling, syntax and punctuations rules.
  • Ability to organize and prioritize workload efficiently.
  • Ability to retain information on a confidential basis.
  • Ability to work independently with minimal supervision.
  • Ability to proofread documents and correct errors.
  • Ability to schedule appointments and arrange meetings.
  • Ability to prepare reports.
  • Ability to deal sensitively with client and their families who may be emotionally distraught and stressed.
  • Ability to perform accurate mathematical calculations.
  • Keyboarding speed of 65 wpm with less than 5% errors rate.
  • Shorthand/speedwriting and dicta-typing skills.
  • Manages workload despite frequent interruptions, & competing demand upon time.
  • Thorough, discrete, reliable and mature.
  • Other responsibilities as assigned.

DUTIES: Directly accountable to the Manager of Social Work and PRIME, the Secretary provides administrative, clerical and receptionist functions at Deer Lodge Centre. Coordinates the logistics of services such as meetings, group activities, conferences, and workgroups. Consolidates activities related to human and material management, drafts, and prepares reports, letter and other documents.

Performs all duties and accordance with established health and safety regulations/guidelines, policies and procedures (e.g. utilizing personal protective equipment as per safe work procedures). Notifies their manager or their designates (i.e. supervisors) of all occurrences, injurie illnesses or safety and health concerns which are likely to harm themselves, their co-workers, or any others who enter the premises.

  • May involve exposure to disease, radiation, toxic materials, noise allergens, etc.

SALARY: As per PSAC Collective Agreement

Please note that an employee is not permitted to hold two or more EFT positions greater than 1.0 combined across the WRHA legal entity (Deer Lodge Centre, Grace Hospital, Health Sciences Centre, Middlechurch Home of Winnipeg, River Park Gardens, Victoria General Hospital, WRHA Corporate Programs, WRHA Community Health Services).
