Reporting to the Manager of Health Information Services the Clerk I is responsible for a diversity of Health Information Services functions including; patient pre-registration, patient registration, bed control, death processing, Drug Program (DPIN) retrieval, Client Registry search, chart management, late report processing, chart assembly and report generation/dissemination.
Minimum Grade XII Education
Successful completion of a Medical Administrative Assistant Program from a recognized College, a recognized Medical Office Administration program or successful completion of a recognized medical terminology course, PLUS one year experience in a Patient Registration Department.
Experience in a Windows environment essential.
Accurate Typing – 40 Words per minute in a Hospital typing test
Ability to prioritize workload, work independently and make effective decisions
Demonstrated effective verbal and written communication in the English Language
Good physical and mental health to meet the positions demands
Knowledge of Electronic Health Record an asset
Working knowledge of the Personal Health Information Act
Ensures accurate collection of patient demographic and insurance information following Best Practice Guidelines
Performs functions related to the admission, discharge, death and transfer of patients through the provincial (Admission, Discharge Transfer) ADT system
Ensure accurate collection of patient demographics continues during downtime
Monitors bed availability and patient placement.
Ensure Registration of Deaths is completed in a timely and accurate manner. Liaise with MEI and Funeral Homes as required.
Works closely with all levels of staff including Facility Patient Care Managers, Department Managers, Medical Examiners, Physicians, Finance
Maintains reports daily and distributes as required.
Provide high level of customer service
Contact patients regarding change in surgery timings or further collection of demographics, insurance or employer information
Performs safekeeping functions as required.
Temporarily relieves, replaces or assists other staff including Switchboard.
Assists in orienting and training new staff and students
Releases patient information in accordance with established policy.
Adheres to all safety and health regulations and demonstrates safe work practices.
Other related duties as assigned.
