The Public Works Clerk II provides administrative, clerical, financial and technical support to the Public Works
Department. The Public Works Clerk II may be the first line of contact to the general public and is responsible
for receiving and routing enquiries, data entry, processing of Accounts Receivables, departmental purchasing
and the submission of payroll documents.


  • Performs clerical, administrative and technical duties including but not limited to: assisting with payroll

processes, invoicing and administration inventory, tracking contracts, typing various correspondence,
documenting templates and forms, maintaining paper filing system, gathering and researching archived
information, and creating and maintaining inventory databases

  • Assists with departmental review of policies, procedures and operations
  • Answers, screens and directs incoming calls and complaints and ensures the requests for action or

information are relayed to the appropriate staff member, and/or ensures follow up if required

  • Performs tasks associated with the radio dispatch of information, personnel and/or equipment for

emergency, and/or routine maintenance

  • Coordinates paperwork required for projects, vehicle insurance and inspections, and prepares

department permit applications as required

  • Reviews monthly accounts payable/receivable invoices for accuracy
  • Coordinates purchasing transactions in accordance with the purchasing policy and prepares

disbursements for submission to Accounts Receivable

  • Enters Public Works timesheets, records monthly attendance and employee time/leave forms, verifies

accuracy, obtains authorization, and submits to the payroll department for processing

  • Tracks financial statements and enters data to create invoices
  • Enters Public Works Maintenance Scheduling data including monitoring and follow-up
  • Monitors Occupational Health & Safety (OHS) Program
  • Works collaboratively with other WFN departments while undertaking duties on behalf of the Public

Works department

  • Maintains confidentiality on all matters relating to the affairs of Westbank First Nation
  • Performs all duties and responsibilities in accordance with the Westbank First Nation policies, standards

and procedures and as assigned within the Public Works/Development Services department


  • Business Accounting course or equivalent training
  • A minimum of 3 – 5 years Administrative experience
  • Business Administration Diploma or equivalent training preferred
  • Extensive computer skills and knowledge of the operation of various computer applications including

Microsoft Office, Outlook, Project, Laser fiche, Adobe and Vadim

  • Previous experience in creating/operating/maintaining templates, spreadsheets, databases, preparing

letters, documentation, reports, presentations and memoranda

  • Strong knowledge and experience of financial accounting, perceptive of budgets, and the ability to

interpret financial statements and relay the information to the appropriate supervisor/manager when

  • Previous experience in managing confidential materials and situations
  • Records management skills in both paper and electronic files with the ability to retrieve archived,

current and historical data as required

  • Previous experience working with a multi-line switchboard including set up of automated system and

the ability to work with various office equipment and troubleshoot any issues

  • Demonstrated experience providing customer service and dealing with the public
  • Ability to instruct and assist other staff members with computer applications and troubleshoot simple

issues with computers as required

  • Strong organizational skills and the ability to set priorities while continually multi-tasking
  • Meticulous attention to detail and the ability to work unsupervised and under pressure to meet


  • Ability to work as a team player and assist with duties as required
  • Excellent written and verbal communication skills
  • Minimum typing speed of 45 wpm
  • Possess a valid Class 5 BC Driver’s License with a clean Driver’s Abstract which is to be submitted
