Job Summary
The VON Nurse Practitioner Clinic provides primary health care services to the residents of Timmins and surrounding areas. As the first point of contact for clients, this role is of great importance. The NP Clerk will support the primary care providers at the Clinic in the provision of primary health care, health promotion and disease prevention care through reliable, timely, professional and effective clerical support. The NP Clerk’s primary role is to provide direct and indirect contact with the clients registered with the Clinic and to liaise and provide clerical support to the primary care providers. The clerk will work closely with the NP Lead in developing processes to support patient care.

The successful candidate’s responsibilities include:

  • Performing reception and reception-related duties in a positive and helpful manner when responding to routines inquiries from telephone calls, visitors, staff; redirection calls or providing routine information requiring a detailed knowledge of the organization’s functions’ sharing acquired relevant information with other team members’ booking appointments and managing the daily schedule for all NPs
  • Communicate appointments to clients
  • Manage incoming and outgoing faxes, referrals and prescriptions
  • Print day sheets for providers
  • Prepare charts and labels for providers
  • Photocopying and distributing materials; handling incoming mail and lab results
  • Create documents as required
  • Maintaining inventory of office and NP supplies and ordering when needed to be ordered
  • Receive incoming parcels
  • Assess administrative work flow and provide feedback and make recommendations to the NP Lead
  • Protect general public and staff from potential infectious disease. As required, have clients with cough and fever place a mask on
  • Demonstrate a willingness to assist with the workload during action or absence of other clerical staff
  • Input and maintain statistical data in required spreadsheets and databases
  • Ability to deal with multiple requests, calls and prioritize work
  • Ability to work evenings or weekends if required – flexible
  • High degree of accuracy and attention to detail
  • Notify the NP Lead or NP’s of difficult people or interactions before they escalate
  • Ensures adherence to the freedom of information act and protection of privacy
  • Exercises reasonable care with caution in protecting confidential and sensitive information related to clients and personnel
  • Participates in team meetings, program reviews and development as required


  • Diploma or Certificate in Medical Secretary, Office/Business Administration or related studies required
  • Minimum 2 years experience in a Family Practice or Clinic environment
  • Experience working with an electronic medical records (EMR) system for booking and scheduling is preferred
  • Exceptional computer skills; proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Internet searches
  • Arranges priorities as necessary to perform tasks
  • Adhere to all policies and procedures of the VON NP Clinic
  • Proven to be reliable and punctual
  • Exemplary customer service skills
  • Excellent oral and written communication, interpersonal and organization skills
  • Ability to maintain information in confidence and respect sensitive information
  • Demonstrated ability to work independently and in a team environment
  • Current criminal background check will be requested
