Founded in 1964, the Victoria Conservatory of Music (VCM) has earned an outstanding reputation of quality in education, performance and music therapy. As a music school for the whole community, the VCM welcomes students of all ages and musical abilities, and teaches in all musical genres including classical, contemporary and music technology. Each year, over 4,500 students take part in an extensive array of disciplines including woodwinds, brass, percussion, keyboard, strings, voice, jazz, theory and composition, and programs such as music therapy, teacher training, early children’s music programs and Summer Music Academies. In addition, the VCM offers a two-year performance-oriented post-secondary diploma program in partnership with Camosun College, credits from which are transferable to every major University in Canada.

Development Department

The Development Department at the VCM has a mandate to acquire and advance meaningful long term relationships with a wide range of external and internal stakeholders and generate financial support through private, public and government funding, supporting the immediate, mid-term and long-term strategic goals and mission of the VCM. The Development Department develops and implements a multi-faceted sustainable revenue focused fund raising program that includes annual giving, major gift philanthropy, corporate sponsorships, legacy giving, government/foundation/ organization/agency grants, constituent communications, prospective donor research and donor recognition and stewardship.

The Opportunity

The Victoria Conservatory of Music (VCM) is seeking a part time Development Coordinator for a five month contract position. This individual is a hands-on, high energy self-starter to support our integrated fundraising program.

Reporting to the Manager, Development Services, and working in close collaboration with the Development team, the Development Coordinator responsibilities include providing support in donations processing, data base management, event logistics, execution and follow up, foundation and individual prospective donor research and donor relations to help ensure the Victoria Conservatory of Music can meet its development goals, strategic objectives, and mission.

This is a part-time contract position for five months working three days per week. Flexibility will be required with respect to hours as this position will include some evenings and weekends for events and other fundraising activities.


Data Base and Administration

Assist in processing gifts, preparing thank you letters and tax receipts

Enter all gift, donor interactions and event information into the fundraising data base for proper donor tracking, recognition and stewardship

Assist with the preparation and implementation of the spring direct mail campaign

Research and identify foundations for grant applications; assist in making discovery calls with the foundations and creating plans for proposals

Research individual donors, ensure profiles are complete and accurate

Other Database and Administrative support as required


Assist in the coordination and implementation of all logistics required for all fundraising and donor engagement/stewardship events ensuring they operate smoothly and efficiently

Assist with on-site support during all Development events

Assist in the post event follow up to all Development events

Experience and Skills

Minimum two years’ experience providing data base / administrative support within the not-for-profit sector

Experience with fundraising data bases an asset

Excellent computer/research skills; (MS Office Word, Excel) Outlook, and able to learn new programs quickly

Outstanding attention to detail

Strong organizational abilities

Professional interpersonal skills and proven ability to work within a team environment

Resourceful and self-motivated

Strong writing and verbal communication skills

Ability to multi-task

Flexibility to work outside of regular business hours, including some evenings and weekends

Valid Class 5 Drivers license with a clean driving record
