Verus Engineering provides full service engineering consulting to our clients in the Oil & Gas industry.

THE ROLE

The Administrative Assistant is responsible for providing administrative and clerical services in order to ensure effective, efficient and accurate administrative operations. The Administrative Assistant must comply with established policies and procedures.

SCOPE

The Administrative Assistant reports to the Operations Director and is responsible for providing administrative and clerical services. This includes controlling project documentation, assisting with accounts receivable and accounts payable, assisting with payroll and providing reception services.

RESPONSIBILITIES

Document Control: Transmit and receive documents from clients and vendors and maintain strict control over the document vault. Maintain project hardcopy files.

Accounts Payable: Receive and verify invoices and requisitions for goods and services. Verify that transactions comply with financial policies and procedures. Prepare, verify, and process invoices and payment documents. Enter invoices for payment in the company ERP. Process backup reports after data entry. Manage the weekly cheque run and record all cheques. Maintain listing of accounts receivable and payable. Maintain updated vendor files and file numbers. Print and distribute monthly financial reports.

Accounts Receivable: Prepare client invoices. Issue invoices by mail or via client electronic input system. Monitor payments. Enter invoices into corporate financial system.

Payroll: Complete payroll functions in order to ensure that staff are paid in an accurate and timely manner. Establish and maintain confidential casual employee files. Verify pay amounts, hours of work, deductions, etc. Verify timesheet coding and obtain signatures. Data enter payroll information.

Office Support: Provide administrative support in order to ensure effective and efficient office operations. Monitor and order office supplies. Prepare purchase orders. Prepare travel and accommodation reservations and travel. Review and verify travel claims. Booking of staff training courses. Ensure the confidentiality and security of all financial and employee file. Provide receptionist services. Greet and assist visitors. Answer phones. Direct calls and respond to inquiries. Perform other related duties as required

KNOWLEDGE, SKILLS AND ABILITIES

The incumbent must possess knowledge in the following areas:

Office administration and bookkeeping procedures. Documentation control. Accounts payable, accounts receivable and payroll functions and procedures.

Ability to maintain a high level of accuracy in preparing and entering financial and payroll information confidentiality concerning financial and employee files

The incumbent must demonstrate the following skills:

Excellent interpersonal skills and team building skills. Bookkeeping skills, analytical and problem solving skills, decision making skills, effective verbal and listening communications skills, attention to detail and high level of accuracy

Very effective organizational skills, written communications skills, computer skills including the ability to operate computerized accounting, spreadsheet and word processing programs, and email at a highly proficient level, stress management skills, time management skills

The incumbent must maintain strict confidentiality and demonstrate sound work ethics.

Previous experience working in an Engineering project office an asset.

Must be legally able to work in Canada. Fluent English speaking and writing required.
