The University Women’s Club of Vancouver is a private women’s club founded in 1907. It maintains and operates Hycroft, an Edwardian era mansion, as its clubhouse. Open year round with a variety of events catering to members, guests and public, Hycroft is renowned as one of Vancouver’s most elegant venues for weddings and social functions. Unlike most hospitality operations, working at the UWCV provides excellent work/life balance with closing at 11pm and statutory holidays off.**

Summary

Working closely with the Member Services Coordinator, the Administrative Assistant/Receptionist provides front-line customer service to members, prospective members and the general public.

Administrative support

  • Provides general reception and monitors building access through security door system
  • Responds to enquiries and requests from members, clients, vendors and the general public
  • Supports the President, Board, Committee and Interest Group
  • Supports the Member Service Coordinator
  • Provide administrative support to all managers and staff in the office
  • Maintains a database and creates merges and labels for mailing
  • Updates monthly calendar for newsletter, and other boards
  • Updates daily schedule, time sheets and E-Blast
  • Performs other duties as required, as requested by the Club’s leadership personnel.
  • Provides accounting data entry accounting
  • Setting up new members in Jonas system
  • Create invoices
  • Processing payments cash receipts and preparing (and if necessary makes) bank deposits.
  • Maintaining registration database and entering batches for billing
  • Preparing and sending out monthly member invoices
  • Preparing and sending out annual dues renewal invoices
  • Charge dues and usage
  • Send emails, call members whose cards were declined.
  • Follow-up on outstanding payments, member’s arrears by emails or phone calls
  • Coding, and entering invoices for payments in Jonas and Quickbooks.
  • Entering and reconciling credit card transactions
  • Entering and reconciling petty cash transactions
  • Other office activities as requires by manager

Qualifications and Experience

  • High School diploma, office administration diploma or certificate; equivalent combinations of education and experience will be considered.
  • 1 to 2 years’ experience in office administration
  • Bookkeeping experience are considered an asset.
  • Demonstrated experience working with accounting software application. Experience with “Jonas Club Management” an asset
  • Superior customer service skills
  • Strong computer skills with, MS Office including Excel, Outlook, Word, PowerPoint
  • Demonstrated commitment to quality, accuracy, timeliness and efficiency in work
  • Good organizational skills and multi-tasking ability
  • Good oral and written communication skills
  • Ability to take direction
  • Ability to work to deadlines on multiple assignments
  • Ability to work under pressure and problem-solve with minimal supervision
  • Flexibility and adaptability to working in a team-oriented environment within an organization that is undergoing development in many areas
  • Excellent interpersonal and communication skills

Hours of Work

Monday – Thursday: 1pm – 7pm,

Friday: 1pm – 5pm.

Some flexibility required to accommodate the office and club needs.
