Under general supervision of the Department Manager and under the direction of the Associate Chair, Undergraduate Studies, the Undergraduate Administrator coordinates and oversees the administration of the Undergraduate program office. Duties include administrative and analytical functions relating to students’ progress in programs covering B.A. and B.Sc. degrees, and the implementation of policies and procedures required by the Faculty of Arts & Science and the Department. The incumbent provides academic counselling to students and advises faculty on procedural matters; makes recommendations to Undergraduate Associate Chair concerning courses, programs and Departmental policy; advises current and prospective students on admission procedures, programs of study and choice of courses; maintains liaison with other faculties and colleges; and is responsible for the Arts & Science calendar, timetables, room bookings, faculty exams, marks reporting, petitions, statistical records and reports; participates in student recruitment activities.

Minimum Qualifications:
Education:
Bachelor’s degree, or an equivalent combination of education and experience.

Experience:
Minimum four (4) years of recent and related undergraduate administrative experience. Experience providing academic counseling to students or similar groups of individuals. Experience working with and applying academic policies and procedures.

Skills:
Excellent interpersonal and customer service skills; excellent written and verbal communication skills. Advanced computer skills in MS Office, Adobe Acrobat and good working knowledge of ROSI and or similar database. Demonstrated analytical and strong problem solving skills. Proven ability to interpret academic policies and their applications.

Other:
Demonstrated high level of initiative, accuracy, and attention to detail with strong organizational skills. Strong judgment to make decisions involving the implementation of policy and to respond to student and faculty matters. Demonstrated ability to work independently and in a team. Ability to work well under pressure and handle multiple conflicting priorities. Demonstrated tact and professionalism to handle delicate situations.

Pay Scale Group and Hiring Rate: USW Pay Band 12 — $66,051 with an annual step progression to a maximum of $84,468. Pay scale and job class assignment is subject to determination pursuant to the Job Evaluation/Pay Equity Maintenance Protocol.
