Communications and Events Coordinator – Office Assistant 5 (AESES)
New Budget-Funded Continuing Part-Time
17.50 – 35.00 hours/week variable hours of 17.5 – 35 per week. normally monday to friday, but schedule may be adjusted depending on events.
Salary Range: $25.01 – $31.73 per hour
Proposed Start Date: April 30, 2018
Trial/Probation Period: 840.00 work hours

Responsibilities :

  • Works collaboratively with and under the supervision of the Facultys Communications Officer to ensure the day to day needs of the faculty and staff are met.
  • Seeks out content and produces multimedia for faculty communication channels, such as UMToday and social media.
  • Collects, identifies and disseminates information on the scholarly, research and other accomplishments of faculty, staff, and students.
  • Liaises and coordinates with media to share faculty stories and content.
  • Researches and writes content for communications and marketing materials, e.g. news releases, brochures, promotional materials, recruitment materials, PowerPoint presentations, briefings and speaking notes.
  • Promotes graduate student and academic research initiatives (call for participants, study publications).
  • Photography, videography and image editing when required.
  • Art directing for video shoots.
  • Assumes responsibility for maintain facultys digital signage in various sport and recreation facilities.
  • Actively engaged in keeping website dynamic and current and relevant.
  • Coordinates the acquisition and posting of news items and other evolving content.
  • Collaborates with other marketing and communication staff to establish overall web site content and presentation.

  • Assumes responsibility for ensuring that information on the web site is current and relevant.
  • Remains current with emerging technologies and data presentation techniques in order to recommend changes to the web site as required.
  • Interacts with technical and other staff to effect changes when required.
  • Acts as liaison to other individuals and organizations within the University responsible for web site design and web site content.
  • Has strong sufficient technical expertise to make changes and design functionality to the web site.
  • Leads FKRM event planning, regularly occurring events include Research Seminar Series and Body Talks, yearly events include Research Day and Homecoming.
  • Act as point of contact of alumni interested in reunions, functions, and faculty fundraising.
  • Meets with event stakeholders to help with planning and ensure fiscal reporting and responsibility.
  • Tracks and reports revenue and expenses of events, ensuring staying within budget.
  • Coordinates logistics for events such as space and equipment requirements, food and catering when needed, invites and guest lists
  • Responsible for developing communications and marketing plans to promote events or other initiatives to internal and external audiences through a variety of marketing tools and communication platforms.
  • Other duties as assigned.

Qualifications :MINIMUM FORMAL EDUCATION/TRAINING REQUIRED:

  • Completion of a formal communications training program.

EXPERIENCE:

  • Four years of directly related experience working in communication and event planning is required.
  • Experience in web and social media is required.
  • Knowledge of University regulations and experience in an Academic environment is preferred, or experience in a non-profit environment.
  • Experience in writing, editing, and interviewing is required.
  • Good knowledge of web page design and visual presentation of information is required.
  • Experience in multimedia design and web page development is required.
  • Advanced computer skills and demonstrated knowledge of personal computer, MS Office Suite (Word, Excel, Access, Power Point), design and layout, desktop publishing, displays, reports and web pages are required.
  • Experience in event management and project management is required.
  • An acceptable equivalent combination of education and experience may be considered.

SKILLS & ABILITIES

  • Professional communications skills, written and verbal, are essential.
  • Excellent interpersonal skills, initiative, and the ability to exercise tact, diplomacy and patience to work in harmony with all levels of faculty, staff, students and the public are essential.
  • Strong personal networking skills are essential.
  • A creative and innovative approach to communications design is required.
  • Advanced proficiency with Microsoft Office suite, Hoot Suite, and multiple social media platforms is required.
  • Ability to create a variety of presentations/publications using software/content management systems such as PowerPoint, Adobe, InDesign and Publisher is required.
  • Ability to organize content, modify images (scanning, Photoshop) and use web content management systems (e.g. Red Dot, Word Press) is required.
  • Attention to detail and an ability to complete assigned tasks accurately and on time is required.
  • Proven ability to independently prioritize work and meet deadlines while managing multiple projects and competing priorities is required.
  • Ability to organize and manage projects and work collaboratively with faculty, staff, students and other communication professionals is required.
  • A creative and innovative approach to communication design and the ability to devise and implement effective communications and promotion strategies and evaluate the effectiveness of those strategies is essential.
  • Ability to work effectively with the media and to work independently with minimal supervision is required.
  • Satisfactory work record, including satisfactory attendance and punctuality is required.
