We are currently seeking a Project Administrative Secretary.

Providing administrative and full secretarial support for the Director – Systems Design & Installation/ Director –Design & Engineering, and providing and/or coordinating administrative and clerical support for the associated team

Coordinating the daily schedule of activities for the Director

Receiving and processing all incoming/outgoing correspondence as well as maintaining a follow-up system for issues requiring action

Word processing a variety of general, technical and confidential correspondence, which may involve compiling and/or verifying information, proof-reading for accuracy, grammar, punctuation, etc. in accordance with department and corporate standards; also composing replies to correspondence as appropriate for the Director’s review and signature

Coordinating the preparation of various documents to ensure deadlines are met

Tracking critical project documents through approval stages

Setting up and maintaining comprehensive project files using the designated document control system

Retrieving and compiling correspondence and/or data pertaining to specific project issues for use by the Director and team

Coordinating, attending and/or participating in various internal and external meetings/committees with Department staff, staff of the Board, external agencies, etc., which involves ensuring the required background information is provided to the Director; ensuring meeting room set-up for all relevant equipment and provision of background materials, taking notes on action items and following up for appropriate action, and producing meeting minutes

Substituting for the Administrative Assistant to the Chief Project Manager – Scarborough Subway Extension as required

Responsible for treating passengers and/or employees with respect and dignity and ensuring the needs of passengers or employees with disabilities are accommodated and/or addressed (if applicable and within your area of responsibility) in accordance with the Ontario Human Rights Code and Related Orders so that they can fully benefit from the TTC as a service-provider and an employer

Participation in the TTC Customer Service Ambassador Program


Sound knowledge of business administration concepts and practices

Sound knowledge of modern office practices, procedures and equipment

Proficiency in the use of a personal computer and Microsoft Office software (Word, Excel, PowerPoint, SharePoint, etc.)

Sound judgement; well developed administrative, organizational, interpersonal, and oral/ written communication skills with an excellent knowledge of grammar, punctuation, spelling, etc.

Demonstrated ability to work in a team environment

Proven ability to handle several responsibilities at once, under minimal supervision, and produce high volume, quality work

Post-secondary education in office administration, or the equivalent, combined with several years of progressively senior experience in an office administrative capacity

Experience acquired in the construction/projects delivery industry is a definite asset

Must have or rapidly acquire a comprehensive knowledge of the Ontario Human Rights Code and Related Orders including disability accommodation and accessibility requirements pertaining to passengers and employees

Annual Salary Range: $56,110.60 – $70,051.80 (Level 6SA) – 35 Hour Work Week
