Position Overview:

Contract Duration: 4 year Contract Position

Under the direction of the Senior Manager, Special Projects, Project Management Office, the Administrative Assistant, is responsible for providing administrative support to the Associate Director, Senior Manager and staff of the Project Management Office.

Knowledge and Experience:

  • 2 years’ College Certificate in Office Administration or related discipline.
  • 2 years’ of experience in performing office administration duties.
  • Demonstrated ability to interact effectively and courteously with all levels of staff and public contacts in a client service environment.
  • Demonstrated ability to exercise discretion and judgment when handling confidential information.
  • Computer literacy utilizing Microsoft Office Suite (Access, Excel, PowerPoint, Word), Adobe Acrobat, Lotus Notes, and the Internet.
  • Excellent written and verbal communication skills.
  • Demonstrated ability to work under pressure to meet deadlines and/or peak period workloads that may extend beyond the normal workday.
  • Valid Ontario “G” driver’s licence.

Major Responsibilities:

  • Process timesheets in payroll system to ensure compliance with deadlines and accounts codes are properly used.
  • Support recruiting and onboarding process for new hires including interview setup, call backs, HR paperwork and training on Corporate Policies and procedures.
  • Process visa and expense claims for Senior Manager, Special Projects and Project Management Office.
  • Process internal/external invoices for payment, vehicle payments, 407 billing, mileage and expense claims and vehicle and equipment sheets for Project Management Office staff.
  • Ensure compliance with Finance deadlines and budget reporting, including tracking completion of Variances and Central Performance Reporting.
  • Maintain hard copy and computerized records (through Laserfiche) for Senior Manager, and specific Section team projects.
  • Track and manage Senior Manager’s email and calendar.
  • Provide support with the creation and maintenance of organizational charts, templates, spreadsheets, reports, PowerPoint presentations.
  • Organize mailing/courier of tenders, Purolator, and public requests for resources.9. Prepare agendas, and finalize and distribute meeting minutes.
