General Accountability

The Assistant Stage Manager, Arts & Culture will support the activities of the Arts & Culture department working specifically for the celebration site specific Stage Management team and reporting to the Producer. The incumbent will support the delivery of the overall Arts & Culture program at a particular celebration site, including but not limited to internal administration, production administration, scheduling, and research and resource management.

Key Job Responsibilities

Duties include but are not limited to:
Assisting the stage management team under the guidance of the Stage Manager
As directed by the Stage Manager and Producer, oversee, manage and wrangle all talent related to the performances on the stages of the celebration site.
Organizing, set up and maintaining back stage areas including dressing rooms, green room etc.
Assisting with organizing and running Artist hospitality
Assisting with on stage cueing as required
Work closely with Production Drivers and Company Management with regard to Artist transportation to and from site
Duties normally requested of an Assistant Stage Manager on a live festival stage

Educational/Technical Requirements
University or College qualification in related discipline or the approved equivalent combinations of education and/or experience
Class G Driving License with a clean driving record
Experience taking minutes at meetings and handling confidential and complex documents and reports
Demonstrated ability to work with varying electronic file formats and presentation development
Strong skills with MS Office 2010 (Inc. Outlook, Word, Excel & Powerpoint) and Adobe Acrobat
Personal Requirements
5+ years assistant stage managing large scale cultural events
Must be flexible to work long hours in peak periods and be able to work flexible hours, including weekends and evenings as required
Excellent verbal and written communications
Strong customer service and interpersonal skills and proven ability to deal effectively with people in challenging situations
Excellent organizational and time management skills, the ability to set priorities, meet deadlines and work effectively with minimal supervision
Experience working in a fast paced environment and managing conflicting priorities and work demands
Excellent communication and problem solving skills to deal effectively with all levels of staff and stakeholders along with the ability to handle sensitive issues
Strong interpersonal skills with the ability to communicate effectively, both orally and in writing, at all organizational levels
Demonstrated ability to take initiative and lead
Strong attention to detail and accuracy
Ability to work cooperatively with others in an interdisciplinary team
