About the Position:

As part of the Regional Office Team, the Legal and Collections Administrator will be responsible for effectively reducing the building level receivables for an assigned portfolio by utilizing a series of collection methods. This hands-on tactical position requires the ability to multi-task, be resourceful, make decisions independently, wear multiple hats and prioritize in an ever-changing strategic environment. Candidate must be confident and capable to regularly represent the interests of Timbercreek before the Régie du Logement. Candidate must possess superior organizational skills with a strong focus on customer service, with excellent interpersonal skills, along with a high degree of initiative and the ability to think analytically.

Key Responsibilities:

Office Administration:

  • Prepares and files hearing applications at the Régie du Logement.
  • Attends and represents Timbercreek Communities before the Régie du Logement.
  • Contacts Site staff monthly to review tenant AR and collection efforts.
  • Contacts current tenants directly regarding arrears in rent and attempts to secure payment.
  • Responds to tenant & staff queries regarding AR balances and legal matters.
  • Ensures site staff utilizes collection logs by reviewing and following up regularly.
  • Prepares and reviews past tenant files and submits to third party collection agency.
  • Prepares demand notices for site delivery.
  • Ensures follow up on all court issued orders, mediated agreements and bailiff requests.
  • Updates to legal tracking software.
  • Advises on escalated/unique tenant issues and next legal steps.
  • Completes ad hoc projects/assignments as required.


  • Records information about financial status of tenant and status of collection efforts.
  • Prepares various AR aging analysis for portfolio and individual properties.
  • Reviews property AR to determine where support is required.

Leadership & Management:

  • Trains of new hires on collection policies and procedures.

Job Requirements:

Education and Experience:

  • Working towards business/accounting diploma.
  • 1-2 years Business experience.
  • Property Management experience is an asset.
  • Strong computer skills including Microsoft Office (Excel, Word, Outlook)
  • Experience with Yardi software is an asset.
  • Experience representing before the Régie du Logement is an asset.
  • Experience in collections, account receivables and residential tenancy legislation.
