Position Overview:

The Terry Fox Foundation is seeking a School and Small Events Coordinator who will be responsible for recruiting and registering schools to participate in The Terry Fox Foundation Nova Scotia School Program, as well as various communities and businesses throughout the province for the Terry Fox Run. This position is suitable for someone who is an engaging presenter and communicator, somebody who is highly motivated and results-oriented, a person who can work independently at times but who understands the vision of the team, and a natural relationship-builder who understands what it means to truly make an impact on others.

Principal Duties and Responsibilities:

  • Recruit and register schools, as well as other small businesses throughout the province
  • Recruit volunteer organizers in schools, small businesses and other niche opportunities
  • Update school registration information from March to September, and provide weekly count
  • Contact schools to confirm participation status (if funds not received); maintain communications log to track whereabouts of donations and arrival date
  • Support volunteers and participants by providing guidance, materials and information in a timely manner
  • Recruit, train and schedule school speakers, including cancer survivors and cancer researchers
  • Arrange speaking engagements and cheque presentations at schools
  • Maintain computer files and databases, as well as hard copies of files
  • Assist in arranging donations of goods and services
  • Travel within region as needed, including organizing school tours with Fox family members
  • Assist in school mailings by merging, printing, signing and stuffing envelopes
  • Help to package and ship promotional materials and merchandise orders to schools from June to August
  • Prepare and personalize school thank-you letters

Other Duties:

  • Problem-solve administrative / database related issues year-round
  • Ensure all contact information in the Salesforce database is current
  • Provide resources and support to the Quebec office and to other Terry Fox offices year-round, as needed

Qualifications and Skills:

  • Post-secondary degree or diploma
  • Experience in not-for-profit special events and program / project management
  • Experience in sales considered an asset
  • Exceptional interpersonal skills and professional presence necessary to interact with participants, donors and sponsors
  • Excellent written and verbal communication skills, with good telephone manners
  • Must recognize and respect the special relationship between the Foundation and volunteers
  • Ability to efficiently organize and manage a diverse range of assignments while meeting multiple deadlines, along with thorough attention to all details and consistent follow-through
  • Self-motivated, with an ability to work under pressure and to meet deadlines
  • Resourceful and independent, while remaining comfortable working within the framework of a team-oriented environment
  • Proficiency in Microsoft Office suites
  • Proven organizational skills with success in event management
  • Experience working with volunteers in a staff leadership position
  • Proven ability as a creative problem-solver, with solid organizational and multi-tasking skills
  • A team player who values an environment of open communication and collaboration
  • Flexible schedule that allows for after-hours events and meetings
  • Ability to travel within Nova Scotia to conduct meetings with schools and communities, i.e. a valid Nova Scotia Driver’s License
  • Must have access to a vehicle
  • Knowledge of fundraising databases is considered an asset
