RESPONSIBILITIES
Operations and Activities
1. Data Entry
Maintain an up-to-date major gift and planned giving data base by effectively utilizing Raiser’s Edge to record solicitor assignments;
Process new Raiser’s Edge constituent record request for the major gift and planned giving program;
Identify records with gifts of Estates; research to find the correct constituent naming convention and update the donor record
Running a query to identify spousal information to accommodate dual names on receipts
With the assistance of the Frontstream E-Receipting System, continue to update Raiser’s Edge with email addresses of donors who choose to give online
Regular review of the daily/weekly Donation files from Fineline and Cover-All to provide fixes to donor addresses.
When time permits, query and research any donor records with a status of ‘E’ (incorrect Address Format).
2. Reporting
In consultation with the Annual Giving Manager (AGM), develop and produce accurate, timely, routine and special reports
Facilitate data retrievals for staff as needed
Point person for compiling custom report criteria
This will include but not be limited to the following;
Using the Raiser’s Edge software, provide the divisional Major Gift and Planning Giving representatives with scheduled updates/reports of their current solicitor assignments for review Donor Systems Coordinator
Assist with the development of new Custom Report Criteria based on various requests
Work in consultation with the DSPRD (or designate) when MG/PG staff changes occur to ensure donors are reassigned where necessary. A listing of the solicitor assignments will be provided to the DSPRD (or designate) for review.
Using the Raiser’s Edge and Frontstream Systems, provide reports to the various departments/ministry units for proper follow up with their donors. (i.e. Gifts of Hope/Sponsorship)
Ensure all Online Giving is represented on the ICFW File. This involves research and coding in preparation for import into the Raiser’s Edge database and will include all data from the Running Room Website.
In consultation with the Annual Giving Manager and the Director of Major Gifts and Planned Giving, produce monthly national summary reports and divisional production reports for distribution by Territorial PRD Secretary and Territorial Director of Major Gifts and Planned Giving.
3. General Systems Support
In consultation with the AGM, process requests for new user accounts for Raiser’s Edge and the Local Receipting Program and facilitate any further system access queries. (i.e. Password issues)
Provide on-going support to field staff for ‘how to’ conversations as it relates to Raiser’s Edge functionality
Maintain Staff Distribution Lists with Postlinx for weekly $1,000+ file distribution.
Maintain a good working relationship with the THQ IT department for facilitating general fixes for the system(s)
Ensure all $1,000+ Files have been imported into the Local Receipting Program on a weekly basis
Provide switchboard backup support to the administrative team
Provide back up to the National Donor Relations Representative during vacation leave
4. File Processing and Yearly Database Maintenance Routines
In consultation with the AGM, provide support for the scheduled yearly maintenance routines on the Raiser’s Edge Database. This includes but not limited to: Dedupe (Merge/Purge) for regular Direct Mail Donor Database and the MG/PG Donor Database Provide support for the Corps Acquisition of Database (Feb & July of each year)
Ensure all data files created as a result of special events are captured and imported into Raiser’s Edge (ie. GNEF)
In support of the Major Gift and Planned Giving Program, ensure all Action Imports are imported into the appropriate donor record on Raiser’s Edge
Facilitate the export of the THQ Data File to Postlinx for validation and import into Raiser’s Edge. This may include problem solving to resolve validation failure issues. This will include data from the THQ cashier, the LRP, MGP(Monthly Giving Program) and Sponsorship Program.
Other duties as required and assigned/approved by the Annual Giving Manager or the Territorial Director of Development
D. Qualifications
The Donor Systems Coordinator must have a thorough understanding of Blackbaud’s Raiser’s Edge fundraising software and a general knowledge of Crystal Reports is an asset. The incumbent must also have advanced knowledge of MS Office including MS Excel and MS Word
Must have at least 3 years’ experience in the area of fundraising activities and events.
Highly organized, with superior problem resolution and analytical skills.
Excellent communication skills, both verbal and written, be able to multi-task, and be able to work well within a team environment.
