Reservation Agent – Corporate Reservations Representative

Summary of Responsibilities:
Reporting to the Director or Revenue Management, responsibilities and essential job functions include but are not limited to the following:

  • Answers the Reservations / Corporate Partners telephone line, and uses professional communication skills, sales technique, and reservation standards to maximize revenue and create positive customer experiences.
  • Maintains positive relationships with key corporate partners and travel agents by responding to customer inquiries, improving processes, and participating in relationship building activities (ResPlus Luncheons, Site Inspections, customer recognition events).
  • Responds to e-mail, fax, and written inquiries in a professional business manner, using appropriate grammar, sentence structure, and letter structure. Drives revenue by integrating sales techniques into written correspondence.
  • Works with clients to troubleshoot issues relating to distribution systems.
  • Ensures timely payment of travel agent commissions and responds to travel agent commission inquiries.
  • Responsible for maintaining a detailed database of all corporate account information, as well as communicating this information to the appropriate departments.
  • Acts as a liaison between the hotel and the Global Reservations Centre, taking ownership for troubleshooting issues and streamlining communication.
  • Assists with group-related reservation activity as required (rooming lists, etc.).
  • Assists with weekly reservations reports such as 30-Day Competitive Availability and other reports as necessary.
  • Provides feedback to Revenue Manager of rate resistance, package requests and other market information.
  • Carries out other special projects and duties as assigned.
  • Demonstrates Fairmont Service Plus Standards and Fairmont Values in all interactions with both colleagues and guests.
  • Adheres to all colleague health and safety responsibilities.
  • Adheres to the hotel’s environmental policies and procedures.


  • Grade 12 diploma required. Post-secondary hospitality degree or diploma an asset.
  • At least one year hotel or office experience, preferably in a Front Office or guest contact position.
  • Epitomizes a professional business manner, demonstrating an ability to communicate professionally both verbally and in writing.
  • Strong ability to use sales techniques and relationship-building skills to drive positive business results.
  • Ability to maintain a high level of responsibility and accountability, making strong independent business decisions when necessary.
  • Demonstrated computer literacy in Property Manager, Excel, Word, and Outlook. Minimum typing speed of 40 words per minute. MFR (myfairmont Reservations) experience an asset.
  • Commitment to providing excellent guest service that exceeds expectations, with a history of responding empathetically and with urgency to guests’ and team needs.
  • Ability to effectively solve problems and make decisions in a personable and self-confident manner.
  • Proven ability to remain focused and service-oriented in a fast-paced environment.
  • Ability to manage and execute multiple tasks within strict deadlines.
  • Ability to work independently and as a team member
  • Physical ability to perform the duties of the job.
  • Shows strong initiative.
  • Must be available evenings and weekends – hours will be primarily Monday-Friday, but shifts may be scheduled according to changing call patterns, functions, and corporate partner events.

Physical Aspects of Position (include but are not limited to):

  • Frequent sitting throughout shift.
  • Occasional kneeling, pushing, pulling, lifting, walking and standing.
  • Occasional ascending or descending ladders, stairs and ramps.
