The Bier Markt Ottawa is expanding their team!
The Reservations & Events Coordinator is responsible for all aspects related to the in house operations of the function. We have a variety of functions here that all revolve around our delicious food, and abundance of bier. With the capacity of the venue being 250 guests, the possibilities are extraordinary.

Key Accountabilities:

  • Oversee and manage all reservation inquiries for groups of 20 or less and bookings via email, phone and Table Watch
  • Communicate and liaise with the Corporate Sales Manager
  • Lead the execution of internal and off-site events
  • Provide feedback on reservations and guest experiences
  • Maintain level of professionalism in all communications with guests via phone, email & social media

Detailed Activities/Tasks:
1. Oversee and manage all reservation inquiries and bookings for groups of 20 or less.

  • Responsible for complete and timely response to all reservations inquiries including web inquiries, phone calls and RFP (Request for Proposal) within 1 business day
  • Refer all large party requests of 20+ guests to the Corporate Sales Manager, including but not limited to: Buy outs, catering, contra or any other business/sales requests
  • Advise on client needs, prepare event proposals including but not limited to: menu and beverage selection in accordance to AGCO guidelines, d├ęcor, design and event flow
  • Prepare & draft written agreements outlining reservation & event elements including but not limited to: minimum spends, food and beverage commitment with a focus on sales and up selling opportunities
  • Engage in ongoing communication with Operations Team & Executive Chef on upcoming events & reservation bookings

2. Lead the execution of internal & off-site events

  • Oversee the execution of all large corporate bookings (50+)
  • Coordinate all details required to ensure each booking runs smoothly
  • Create and communicate floor plan for set up, task assignment for setup/service staff, table assignment for Party Cards and tracking initiatives
  • Pre-shift meeting for Management and service team members
  • Assist in developing new event opportunities and connecting new leads directly to GSM
  • Maintain, organize and manage existing BM events, including BM Brand Events (Anniversary and Patio Parties, Guest Appreciation, Oktoberfest etc.)
  • Refer inquiries from the public about Bier Markt events, including assisting with media requests to Corporate Sales Manager
  • Manage and communicate staffing needs to Scheduling Managers and Executive Chef

3. Provide Feedback on all Bier Markt Events & Group Bookings

  • Year over year sales tracking per week, submitted to CSM by end of day Monday
  • Manage MOD Post-Event Summaries; ensure MODs are completing this mandatory document; follow-up with Event Organizers within one business day of their event; communicate with GSM of any negative event details

4. Table Watch Management

  • Drive Guest traffic to Table Watch
  • In-house lead of Table Watch management, including issues, updates & training
  • Strong working knowledge of Point of Sale System
  • Strong knowledge of restaurant flow management, capacities and BOH capabilities
  • Strong working knowledge of proper table assignment and re-arrangement
  • Updating and communicating all events and details in TW
  • Ensuring proper usage of Table Watch tool, including server section assignment, proper guest profiles, and database management


  • Post-Secondary Education with Hospitality background


  • Minimum 1+ years Events experience
  • * Guest booking experience in the Hospitality industry
  • Experience in the development and execution of successful corporate bookings
  • Knowledge of executing reservation-based events and promotional programs
  • Knowledge of physical plant and event capabilities
  • Experience in team motivation

Technical Skills & Knowledge

  • Understanding of events and reservations
  • Knowledge of Bier Markt physical plant and event capabilities
  • Strong knowledge of reservation and promotional standards and techniques
