Scope

As a Dispatch/Logistics Coordinator you will effectively perform the tasks assigned regarding all Dispatch/logistics related transactions between customers, company drivers, owner operators and partner carriers.

It will be your responsibility to work as an effective member of the team to achieve a positive impact to our customer and corporate expectations utilizing your sales, customer service, and logistics and operations skills.

Responsibilities

  • Maintain contact with the customer throughout the duration of the order, communicating both positive and negative occurrences and document by the approved methods;
  • Understand the wide array of the Terra Nova’s capabilities to match them to the Customers and Driver’s needs;
  • Contact Partner Carriers to negotiate needed equipment, price, and expectations.
  • Dispatch shipments;
  • Proactively source freight opportunities from existing and new sources to meet utilization targets and capacity management;
  • Appointment management and scheduling;
  • Optimize the company’s profit margin without compromising service;
  • Ensure company and owner operator availability is reflective of the companies and driver’s needs;
  • Ensure equal and fair distribution of work assignments to all company and contracted owner operators to ensure that company utilization targets are achieved and driver turnover is controlled;
  • Build strong relationships with the company drivers and carriers through communication and ongoing monitoring of on time performance and asset utilization;
  • Proactively solve issues as they arise, working with the terminal manager, colleagues and all other departments to resolve issues;
  • Providing spot quotes to customers both internal and external as well as assisting in long-term pricing as required;
  • Negotiate any additional charges with customers and carriers, assist in maintaining accuracy, confirmation and documentation of all additional charges or services;
  • Utilize all available assets including tractors, trailers, drivers, owner operators, dock staff and partner carriers to achieve utilization targets, profit margins, Sales and customer service objectives on an ongoing basis;
  • Understand current industry market conditions and communicate any issues that might impact operations with the entire team;
  • Have a complete and thorough understanding of the needs of the customer and how the company’s services can most effectively meet those needs to encourage additional business opportunities;
  • Assist partner carrier development by providing new carrier information package and relaying this information to the carrier compliance coordinator;
  • Receive, analyze and process booking information from the customer to identify and confirm the appropriate routes, verify the service requirements, and enter the information into the TMS.

Criteria

  • Computer literate in Microsoft Office Suite, including Outlook, Excel and Word (Required);
  • Detailed documentation and clear concise communication skills;
  • Conflict Management skills;
  • Able to work in a fast-paced Team environment;
  • Complete understanding and use of all aspects of the highway transportation industry;
  • Experience in the tendering and procurement of freight (Required);
  • Minimum of 2 years’ experience in a 3PL or asset based dispatch environment;
  • Experience with pricing and margin adherence
  • LTL load optimization a (Required);
  • Post-Secondary Education – Diploma in Logistics or Transportation is preferred;
  • Must be able to work flexible shifts.
