The primary responsibility of the Administrative Assistant is to provide clerical support to the Centre. Responsibilities include: greeting and screening visitors, maintaining a high level of professionalism and confidentiality, answering and referring inbound telephone calls and incoming emails, providing information pertaining to the organization and ministry, responding to donor enquires, updating the database, and supporting the day to day operations of the centre.

Job Duties & Responsibilities

  • Present a positive and professional image of Teen Challenge to all visitors, volunteers, students, staff, inquiries, and other interactions
  • Respond to telephone, email, and in-person inquiries from all parties, referring and/or recording to the appropriate individuals and/or departments across the organization
  • Respond to donor concerns and requests and input appropriate data into the Partner database
  • Process gift cards, gifts in kind, work contract billings and other administrative task
  • Create forms, and other typing projects as required
  • Receive and distribute all forms of mail, fax, or digital correspondence
  • Organize, maintain and coordinate office records and files
  • Handle sensitive/confidential material strictly in accordance with Teen Challenge Canada’s operational policies
  • Maintain the reception area in an organized and presentable manner
  • Make purchases through Teen Challenge marketing or on-line
  • Track and submit receipts and invoices for payment
  • Assist with preparation and maintenance of Outreach boxes
  • Conduct donor and prospect research, and generate leads for the Development Officer
  • Provide support to the Development Officer as required

Qualifications

  • Minimum of Grade 12 high school diploma
  • Minimum 1-3 years of relevant work experience, office administrative background preferred
  • Exceptional written and verbal communication skills
  • Professional and pleasant demeanor
  • Strong administrative skills and positive team attitude
  • Superior telephone manners and strong interpersonal skills
  • Solid interpersonal skills that allow one to work effectively in a diverse working environment
  • High level of sound and independent judgment, reasoning, resourcefulness, flexibility, adaptability, leadership and discretion
  • Demonstrate ability to clearly transmit and receive information by email, phone and in person
  • Proficient in Microsoft Office Productivity Software
  • Excellent attention to detail and ability to adapt to within a changing fast paced environment
  • Self-motivated, results-driven and able to work well under pressure
  • Excellent time management skills and ability to prioritize and organize tasks at hand
