Responsibilities /Responsabilités:
Reporting directly to the Manager of Sound Services, the ADR Scheduler/Coordinator will be responsible for the following tasks:

Picture:
Requesting delivery via Aspera or FTP (or other means) in a timely manner.
Requesting ProRes Proxy (if not we request transcode).
Referencing work order numbers for Media Services in order to download/transcode picture; in order that they might bill the picture download cost.
Putting picture file path on the ADR work order.
Communicating with Audio Coordinators regarding in house picture availability.

Microphone specs:
Answering questions on which mics we have in house, adding mic preferences and placement information on to ADR work order, and ensuring we have the mics the client requested; if not, we book out of house mics, contact facility/individual, provide an invoice/contact form, secure petty cash, arrange courier for pick up & drop off.

Recording specs:
Acquiring recording specs, especially for out of house clients, and adding specs to the work order with any special notes from the Sound Supervisor.

Delivery specs:
Determining with the client if it will be delivery via Aspera, FTP or FedEx. Getting the correct information – passwords, FTP info etc. and applying it to the W/O.

Managing talent schedule, names, sign-in sheet:
Producing a list of who is coming in to record, what time, for how long (special requests for high profile talent).
Acquiring sign-in sheet, printing, attaching to work order, finding out who gets the signed sheet; adding this information on the work order.
Sending an info sheet including our location, parking, directions by transit/car, to/from airport.
Finding out if sessions will be supervised by an editor; directing editors to appropriate studio.

Scheduling:
Creating hold lists for clients (blocks of months at a time) for all in-house clients who are mixing here – and some who are only doing the video here.
Ensuring the lists are detailed and that there are no conflicts. Managing conflicts as they arise.
In some cases, a client is requested to buy the time if another client chooses to hold on to it – we broker these transactions as well.
Contact clients daily to see if they will be using their time the following day.

Refreshments/Snacks:
Ordering coffee/beverages/snacks for sessions as appropriate.

Staff:
Ensure that clients have the engineers they prefer on their sessions – to the best of our abilities.
Contact our engineers and assistants to give them their start times, and relay to them the information we’ve gathered for the W/O.

Sessions costs:
Providing session costs to the client.
Checking to see if there’s a preferred rate for previous/return/repeat clients.
Working in tandem with Sales if a special rate has been requested.
Relaying costs to the client once contact/request has been made.

Reception Duties:
This role will provide coverage at reception from 4-6pm every day. At this time, ADR scheduling tasks should be complete. This role will also provide temporary back-up reception coverage on an as-needed basis, as communicated by the Audio Services Manager.

Qualifications / Qualifications:
Knowledge of the Post Production process.
Ability to work well both as a team member and independently.
Strong organizational and communication skills.
Flexible in hours and structure of work.
Graduate of a recognized Film & Television program, or equivalent work related experience.
Knowledge or ability to understand ScheduAll software.
Ability to multi task and work under pressure.
Ability to interact professionally with clients and other staff.
Knowledge of Audio Elements, procedures and workflows.
