Sustainival Alberta is currently seeking a full time Event Coordinator to join our team in Edmonton, AB.

The Event Coordinator role will report to the Senior Events Manager at Sustainival with the selected candidate assisting with many aspects of the planning and delivery of Sustainival events. We currently run large-scale Edmonton, Lethbridge and Fort McMurray events. This is a full time, year-round position.

The ideal candidate will be a highly organized, professional and self-motivated individual who will thrive in a flexible, self-directed work environment. This individual will be responsible for helping plan Sustainival, the World’s First Green Carnival, as well as all associated educational and community events surrounding Sustainival. Sustainival has a long track record of success with three large community events around Alberta that will each attract between 18,000 – 40,000 people yearly. Each event not only thrills the community with a full carnival/festival set up, powered on green energy, but also engages participants in a strong educational component on renewable energy and green living.

Two key words to describe what we are looking for in our new team member are resourceful and organized. Planning large scale events, like Sustainival, takes a certain type of person that can mobilize on solutions and find creative answers regularly. This person needs to be quick on their feet, fantastic at communicating and very effective at staying positive and motivated while planning and running large-scale events. In order to pull all of this off the candidate of choice will need to be able to organize themself like a champ!

Duties of the position include:

  • Manage timelines in a very organized way to ensure a smooth, stress-free planning process.
  • Help secure sponsorship for all Sustainival events, both cash and in-kind.
  • Build and maintain strong relationships with sponsors.
  • Coordinate logistics with sponsors.
  • Apply for grant funding.
  • Help coordinate marketing, social media and communication deliverables.
  • Work with subcontractors, vendors and suppliers.
  • Assist in running the volunteer program for Sustainival.
  • Help coordinate event logistics.
  • Assist in building an entertainment program for each event.
  • Assist in the permitting process.
  • Help coordinate all aspects of the delivery of Sustainival events.
  • Assist with the on-site management of Sustainival events in Edmonton, Lethbridge and Fort McMurray.
  • Work within a pre-determined budget.

Experience, qualifications and skills:

  • Minimum of 3 years experience in event planning and large-scale event on-site production, with associated degrees, designations or certifications a bonus
  • Experience in securing and maintaining relationships with sponsors
  • Experience in project management
  • Social media management experience
  • Marketing experience
  • Experience in coordinating and managing volunteers
  • Exemplary interpersonal and communication skills – both written and verbal
  • Very excellent organizational skills
  • A high ability to be resourceful
  • Able and willing to work flexible hours, primarily in event season
  • A passion for sustainability and environmental issues is a definite bonus
