The Procurement and Logistics Administrator will support the Materials department by providing administrative assistance to the Materials Manager with the day to day business of the Department. This position will report to the Materials Manager and will be based out of Toronto, ON. RESPONSIBILITIES: Creating, reconciling, maintaining, retrieving, organizing and filing purchase orders and following up on invoicing to ensure payment is accurate

  • • Coordinate and place orders for office supplies requests for the group of companies
    • Procure necessary stationary supplies for all 85 airports Sunwing Airlines operates out of
    • Procure shop supplies for the materials department, weekly orders for all packaging supplies, stationary supplies and miscellaneous equipment
    • Prepare quotes and order non-technical material relating to Maintenance, Airport and Ground Operations
    • Confirm branding standards are met for company branded purchases
    • Acknowledge all station request order forms for supplies from all bases Sunwing operates in/out of and generate non-tech pick slips from AMOS for the back non-tech warehouse to pull, pack and ship the required items
    • Prepare customs and shipping documents for non-technical shipments
    • Communicate directly with all the bases advising the shipped details of the orders that have been requested and providing them with all shipping documentation
    • Pull, research, or enter data into spreadsheets and/or databases
    • Maintain and administer the spreadsheet for all of the Special Services requests for PassengerTO2 to ensure that the requirements for Special Services have been fulfilled
    • Assist the Materials Manager with invoicing, filing, minute taking in meetings, etc.
    • All other duties as assigned

QUALIFICATIONS:

  • Some post-secondary education in Business Administration or other business related education preferred
    • Minimum 1 year of experience in an administrative role
    • Excellent computer software knowledge (Word, PowerPoint, Excel, Outlook)
    • Understanding of associated government and regulatory requirements an asset
    • Thorough understanding of office procedures and protocols
    • Must maintain a cooperative, approachable team-oriented attitude
    • Must maintain a good rapport and working relationships
    • Resect confidentiality relative to all aspects of the business
    • Ability to manage multiple tasks and prioritize to meet deadlines in a fast-paced environment
    • Tactful, diplomatic with good judgement while working in stressful situations
    • Ability to work independently with minimum supervision
    • Excellent administrative, management and interpersonal skills
