LOCATION: Sherwood Park, Alberta (CA-AB)

Job Overview

Are you an administrative assistant with a strong background in records management? In this temporary role, you will report to the director and you will provide diversified support to the Pipelines Leadership team and organization. You will have the chance to assist with the communication, coordination and administration of routine and diverse business processes.

Key Accountabilities

  • You will ensure all camp travel and contractor onboarding including vehicle passes, orientations, etc. as well as assist with employee onboarding, fire drills and updating the evacuation checklist contacts
  • Highly motivated to organize and maintain the records for the document management as well as the maintenance & reliability teams along with pipelines fleet administration and assisting with monthly vehicle mileage reporting
  • Multi-tasking to ensure coordination of courier services, handle the billing of account, assist supply chain with building annual blanket purchase orders along with various office administrative tasks including stationary/office supplies, internal/external mail, room bookings, webcast room preparation, etc.
  • Improve and maintain oversight and direction to office maintenance and cleaning services
  • Handle the pipeline corporate card access system, coordination of monthly pipeline stewardship entries, occupational vision care program and scanning entry of the safety inspection cards

Required qualifications

Experience and Education:

  • Extraordinary proficiency with Livelink
  • You have a minimum of two to five years of experience working in a records management/administrative role
  • High School Diploma or General Education Diploma (GED)
  • Post-secondary certificate in records information management and/or administration is an asset
  • Possess a valid driver’s licence and a clean driving record

Skills and Knowledge:

  • We expect a strong technical literacy with Microsoft Word, PowerPoint, Excel, LiveLink, Visio and Outlook
  • Ability to multi-task and handle challenging deadlines with minimal supervision
  • You collaborate with others to achieve the best results and deliver the most value

Working conditions

  • This position is located in our Sherwood Park Edmonton office
  • This is a temporary position for a period of 12 months
