Job Title: Night Audit

Department : Rooms

Reports To: Assistant General Manager/General Manager

SUMMARY: Accommodates guests of hotel by performing the following duties. The following reflects management’s definition of essential functions for this job but does not restrict the tasks that may be assigned. Management may assign or reassign duties and responsibilities to this job at any time die to reasonable accommodation or other reasons.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following.

• Runs the nightly Audit reports and does a forecast
• Enters the following day’s reservations
• Walks the hallways and takes down breakfast menus that are hanging from the door handles (if this service is offered at the hotel)
• Picks up any shoes that are left in front doorways for shining (if this service is offered at the hotel)
• Delivers morning newspapers
• Handles incoming guest reservations via phone’ completes reservation slip and reservation board. Takes reservations accurately and neatly
• Greets, registers, and assigns rooms to guests. Handles credit, initial parking information, and an overview of guest services. Issues room key and escort instructions to Bellman, if available
• Serves as a primary liaison to guests Handles stressful situations; makes mature and knowledgeable decisions. Handles all guest complaints or problems
• Serves as hotel phone operator and directs all calls to the proper extensions. Receives, transmits and racks telephone messages
• Answers inquiries pertaining to hotel services; registration of guests’ shopping, dining, entertainment, and travel directions. Makes restaurant, transportation, or entertainment reservation, and arranges for tours
• Handles all guest service requests. Takes room service orders and directs appropriate staff member to assemble and deliver the order
• Directs Bell and Door personnel to park and retrieve guest cars and handle guest requests (if this service is offered at the hotel)
• Keeps records of room availability and guests’ accounts. Operates AutoClerk, the Front Office software. Maintains the guest history computer
• Uses 10-key adding machine and switchboard
• Computes bill, collects payment, and makes change for guests.
• Inputs daily hotel activity in Home Office as required
• Updates on line reservations system via internet
• Posts charges such as room, food, liquor, or telephone to guest accounts
• Balances daily or shift audit on the billing computer. Maintains appropriate bank, issued to each individual
• Assists guests with depositing their valuables in safe deposit boxes
• Cleans and organizes the front desk area

EDUCATION

High school diploma or equivalent (GED); one to three months related experience and/or training; or equivalent combination of education and experience.

LANGUAGE SKILLS

Ability to read and comprehend simple instructions, short correspondence and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to guests, clients and other colleagues of the hotel.

MATHEMATICAL SKILLS

Ability to add, subtracts, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs

REASONING ABILITY

Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.
