Reporting to the Office Manager, Student Access, Wellness & Development, the incumbent acts as an information resource by disseminating information about Counselling, Accessible Learning Services and Health Services to staff, faculty, parents and professionals. The incumbent will provide front line administrative services which will include greeting students and determining the appropriate referral by asking relevant and appropriate questions, assessing the immediacy and nature of each inquiry and scheduling appointments with the appropriate person or service, gathering intake information from students including disability related documentation and ensuring that forms are filled out correctly, acting as an information resource to prospective and current students, parents, faculty, staff and the broader community, compiling, processing and maintaining a broad range of data including financial reports, scheduling requirements, service and activity reports and other confidential student documents. The incumbent will also be responsible for communicating and explaining multiple policies and guidelines pertaining to our legislative requirements regarding the collection of confidential personal information including medical documentation. In addition, the incumbent will maintain confidential files in a centralized filing system, and perform data entry using sensitive confidential intake forms as well as providing administrative support to the Office Manager which may include specific duties to support one of the three services areas (Health Services, Counselling Services and Accessible Learning Services) and other related duties.

The incumbent will possess, at minimum, a 2 year diploma in social services, disability studies, office administration or a related field of study and 3 years’ related experience such as experience working with students and/or experience working in a student services environment. Other qualifications include: excellent written and verbal communication skills, intermediate to advanced computer skills including working with MS Office (excel), proven organizational skills, problem solving skills, strong presentation skills, demonstrated ability to work independently and as part of a team and familiarity with various types of assistive technology.
