Job Description:

The Campus Administrator is responsible for the smooth functioning of the Spirit of Math campus office. They provide information, liaise with and generally support Spirit of Math staff, parents, and students.

Personal Qualities:

As this is often the first person who clients talk to, this person must have excellent interpersonal skills. Their time management, relationship management, and organizational skills are superb. They excel at building trust by effectively supporting others. They are detail-oriented in performing administrative work.

Decision-Making Ability:

The Campus Administrator should have the capacity to achieve objectives that could take up to 6 months to execute.

Skilled Knowledge & Experience:

This position entails people who have had experience in the office environment or school environment where working with people and organizing were key elements to their job.

This individual will be skilled at juggling multiple priorities. They will have the ability to provide an exceptionally high level of customer service to campus directors, teachers, parents, students and other individuals who contact or visit the head office.

Education:

A degree or diploma from a recognized college or university.

Accountabilities:

The Campus Administrator will report to the Campus Director and is accountable for:

a) Providing high quality office support to campus directors

b) Communication and support for teachers as needed

c) Communication with other admin staff in other campuses and HQ as needed

d) Informing Campus Director of the details of all orders for supplies to ensure accurate bookkeeping

e) Assisting the HR Coordinator and Campus Director with the selection and training of Assistant Teachers

f) Liaising between students seeking tutors and potential tutors

g) Conferring with the Campus Director of best practices for maintaining the cleanliness and order of the campus facility

Authorities

The Campus Administrator has the following authorities in relation to other SMS staff:

a) Conferring with the Campus Director on required planning and activities to ensure the smooth operation of the campus

b) Working with the Campus Director to ensure orders are made sufficiently in advance for timely delivery

c) Place orders under the direction of the Campus Director

d) Auditing the online attendance records for the campus

e) Accept, track and provide receipts for payments from clients

f) Assemble the weekly and major payment deposits on spreadsheets and hand it over to the Campus Director

g)Maintain and account for cash box.

h) Transfer students and work with other campus administrators to ensure proper scheduling and payments

i) Perform student interviews under the guidance of the Campus Director

Responsibilities:

The Campus Administrator has the following responsibilities:

a) Create processes and systems to ensure the cleanliness and order of the campus facility

b) Maintain the facility in a clean, orderly state

c) Draft and update policies and procedures for the office administration of the campus as necessary

d) Manage the administration for registrations, including ensuring that all registrations are complete, and filed properly, and large registration periods are organized

e) Manage the consolidated registration list for all math contests and the associated deposits

f) Assist with the administration of special campus events including but not limited to:

I. Pre-registrations

ii. Registrations

iii. Beginning of year activities

iv. Summer programs

v. Report card administration

vi. Bring a buddy evenings

vii.Free trial class events

viii.Candy counting events

ix. End of year events

g) Process student withdrawals

h) Maintain the database of student information during the school year

i) Print and organize end of year certificates

j) Assist with weekly and large deposits as requested by the campus director and the finance department

k)Ensure deposits are reviewed by Campus Director, before they make the deposit, as part of proper cash management practices
