Job Summary
Reporting to the Manager of Talent and Total Rewards, the Human Resources Associate is accountable to provide process support to the Total Rewards function related to key Compensation, Benefits, Pension and Recognition activities in accordance with policies, legislation and collective agreement provisions. The Human Resources Associate is an integral member of the team responsible for administrative duties on a range of operational Total Rewards services. Accountable for maintaining the Human Resources Information System (HRIS) and processing changes to employee benefits and compensation. The Human Resources Associate will play a key role in support planning and implementation activities for Our People Recognition events
Job Duties
Benefits
- Responsible for day-to-day transactions processed in the HRIS system for benefit and pension plans, including premium changes, leaves processing, enrolling and terminating benefit coverage, and managing dependent and beneficiary records.
- Develop and maintain a database and tracking process for all leaves of absence, voluntary life insurance premiums and benefit rate changes;
- Monitor payment of benefit premiums and maintain communication with employees with special circumstances, i.e. health leaves, long term disability, retirees, salary continuance and termination.
- Responsible for exporting HR data to insurance carriers on bi-weekly basis.
- Ensure all pension transactions and events are processed for reporting to the Healthcare of Ontario Pension Plan (HOOPP);
- Identify all approved leaves of absence without pay and any other absences (e.g., illness/suspension) which impact on pension credits and continuation of insured employee benefits;
- Provide frontline response to basic inquiries regarding eligibility for enrolment and plan options, claims process as per relevant collective agreement (e.g., new hires, restrictions, status changes, leaves of absence)
- Participate in onboarding sessions on the overview of benefits and pension.
Compensation
- Implement compensation changes as needed, bi-weekly, quarterly and annually including economic increases, contract increases, changes to salary scales, creation of new salary scales.
- Facilitate job evaluation committee activities and input evaluations into JEM (Job Evaluation Manager).
- Research new positions to support recommendations on appropriate salary range in consultation with Manager, Talent and Total Rewards.
- Participate in compensation and ad-hoc salary surveys and position survey requests
- Work with management on completion of Position Description Questionnaires.
- Meet biweekly pay processing deadlines and audits, compensation changes and updates.
- Partner with IT for any release updates, testing of new release changes/upgrades for compensation modules of system.
Qualifications
- Undergraduate Degree in Business/Human Resources or other related field or Successful completion of a Diploma (College level) in Human Resources field with a Certificate in Human Resources Management.
- CHRP or actively working towards completion of professional certification in Human Resources
- Minimum one year working experience in Human Resources; health care experience an asset
- HRIS and/or systems experience required. Advanced computer skills in MS Office (Word, Excel, PowerPoint)
- Current knowledge of Ontario Employment Legislation (ESA), WSIB, Human Rights Code, Accessibility for Ontarians with Disabilities Act, Labour Relations Act, Occupational Health and Safety. Experience working with Collective Agreements preferred
- Demonstrated ability to take initiative; Knowledge and understanding of Human Resources metrics and strong analytical and research skills
- Excellent people relations skills, demonstrating Southlake Regional Health Centre values to put patients first, give a damn, push the envelope and speak up.
- Strong time management, planning and organizational skills to manage competing priorities and meet deadlines.
