Reporting to the Director, Purchasing & Transportation, the Travel Coordinator will perform a wide range of administrative and general support duties with regards to travel and accommodations for company employees. The incumbent works independently in conjunction with the company’s travel provider. This is a part-time position, 6 hours per day, Monday to Friday. Duties include but are not limited to:

  • Arranging travel and accommodation for company employees using nuTravel (online travel booking portal)
  • Acting as a resource and point of contact for travel related issues
  • Working with our travel provider to ensure rates have been negotiated for airlines, hotels and car rentals
  • Ensuring that travel arrangements are in accordance with company policies and guidelines as well as ensuring that employees can be accounted for at all times while travelling
  • Completing monthly reconciliations of the corporate credit card and forwarding to Finance
  • Maintaining expense accounts for the SMS Executive and Senior Leaderships teams
  • Organizing/arranging catering service for functions in the Head Office
  • General office assistance as required

Qualifications

This position typically requires a high school diploma with a minimum of 3-5 years of experience in an administrative role within an office environment. Other requirements include:

  • Good working knowledge of office administration systems and procedures
  • Excellent written and verbal communication skills
  • Strong people and time management skills
  • Sound working knowledge of computer systems (Microsoft Office Suite), particularly hotel and car rental reservation systems
  • Ability to solve problems independently and strong attention to detail
