Junior Project Manager will be responsible for maintenance & execution of assigned events. This will require you to proactively meet with clients to determine event needs, quote based on event requirements, provide hands-on delivery and execution of events, and supervise a team of professionals at a high level of satisfaction. This role will require occasional hands-on delivery of events, as well as event support to other branches and collaboration with other departments on an as-needed basis.

Key Responsibilities and Accountabilities:

  • Actively liaise with clients, venues, and internal team members
  • Communicating with clients to determine needs and solutions.
  • Create quotes, floorplans, event folders, and relevant show documents as needed to communicate with client and execute event.
  • Collaborate with Exhibitor Services team for appropriate forms and online store needs for show.
  • Determine whether specific permitting / out of province licensing is required for event delivery, obtain as necessary or work with appropriate 3rd
  • Manage cross rentals as needed (forklifts, commercial and passenger vehicles, third party labour companies and suppliers, etc.)
  • Manage inventory and staffing needs required to fulfill event plan.
  • Assess transportation plans for staff and equipment, book flights / hotels according to company policy
  • Coordinate and Manage Event Team, including overseeing set-up and tear down of events, clearly communicating timelines and delivery standards in accordance with company policies and using appropriate documentation
  • Monitor and manage event costs
  • Complete all post event files including final invoicing and internal reporting, as well as post event customer service calls with client
  • Participate and/or lead staff training as designated by General Manager
  • Support other branches and divisions through management of specific events or overseeing particular teams and tasks on larger scale events as needed
  • Other duties as required

Requirements

  • Bachelors Degree with Business / Marketing/Communications major preferred, or 2+ years related experience.
  • Thorough knowledge of spreadsheets, databases, word processing and graphics.
  • Ability to lead staff, analyze available information, and make sound decisions.
  • Work will be performed in both an office and on site environment, and hours will be flexible based on requirements of assigned events. This will include some evenings and weekends.
  • Work may involve repetitive motion and physical exertion (periods of standing, lifting, ladder work, etc.)
  • Excellent communication and presentation skills.
  • Valid Class 5 Driver’s License or equivalent
  • Ability to work in consultative manner with internal teammates and client contacts clearly and effectively.
