Status: Full-Time
Remuneration: Hourly Wage based on experience

Job Summary:
The Exhibitor and Administration Services Coordinator will have the responsibility of managing client orders for exhibitor services sold company wide. They will be required to ensure client satisfaction and promote sales where necessary. The position is responsible for assisting managers with corporate administrative support, providing quotations, invoices, and event details for the upcoming events, and performing a variety of in-house and tradeshow site functions. You will be responsible for maintaining a high level of accuracy and excellent customer service for which Showtime is known.

Duties & Responsibilities:

  • Assist with general office administration (answering phones, document preparation and systems support)
  • Assist in creation of exhibitor packages / orders
  • Assist in responding to clients requests as required and assist in sales activities as required
  • Communicate and distribute work orders to Event Manager
  • Monitor incoming inventory and materials handling orders
  • Maintain data in sales system to ensure accuracy
  • Assist sales staff with various administrative duties
  • Manage on-site order desk which includes: event information / client services, payment collection, on-site work orders, and establishing effective communication with Event Manager and Exhibitor Services Supervisor
  • Assist with tradeshow site activities as necessary
  • Assist management with preparation of tradeshow post-event reports
  • Conduct follow up with customers to ensure client satisfaction
  • Perform duties with regional team to ensure a successful show for our clients
  • Perform sales as required to ensure client satisfaction
  • Perform other duties as assigned and deemed necessary

Qualifications:

  • 2 year diploma in a related field (Hospitality, Tourism, Business, Event Management, etc.) or an equivalent combination of education and experience
  • 3+ years in administration/sales
  • Exceptional customer service
  • Ability to multi-task and manage time effectively
  • Creative, extremely detail orientated, and organized
  • Professional attitude & work ethic
  • Ability to communicate well with various levels of staff & clientele
  • Ability to work in fast paced environment
  • Proficient with MS Office (Word & Excel), AutoCad & other computer applications
  • Experience in the convention or hospitality industry and event industry is an asset
  • Exceptional customer service skills
  • Valid Class 5 drivers license or equivalent & reliable transportation
  • Work within a team or independently
  • Flexibility with scheduling & work tasks
