We have an exciting opportunity for an Administrative Assistant supporting our North Vancouver Island region, located in our Campbell River office. Reporting to the Manager, Operations, the successful candidate will be responsible for providing general administrative and executive support.

Accountabilities/Responsibilities:
• Acting as a liaison for our leadership team with staff, associates, regional systems and various organizations
• Working closely with Shaw’s vendors and local municipalities
• Generating and updating department schedules
• Monitoring and reporting employee hours and tracking department absenteeism
• Processing recruitment paperwork and system access for new employees
• Tracking department headcounts and FTE availability to ensure accuracy in hiring
• Submitting any manual commission or differential adjustments to payroll
• Drafting internal and external correspondence as requested
• Organizing and coordinating meetings, preparing agendas and taking meeting minutes
• Coordinating calendars and travel arrangements
• Conducting general administrative duties including filing, typing, arranging for couriers, and opening and distributing mail
• Maintaining project lists and developing department reports and presentations as needed
• Various other duties as needed

Required Skills, Experience and Qualifications:
• High school diploma or equivalent education complemented by one year of relevant work experience.
• Diploma/certificate in Office Administration is considered an asset
• Proficient with Microsoft Office (Word, Excel, Visio, Power Point and Outlook)
• Excellent organizational skills, attention to detail and the ability to handle several tasks effectively
• Ability to deal with confidential matters
• Previous experience in HR related duties considered an asset.
• Ability to effectively work in a team environment and work independently with minimal supervision
• Superior communication skills both written and verbal
• Ability to work evenings and weekends
• Goal oriented with the ability to work in a fast-paced, rapidly changing environment
• A positive friendly manner and customer service approach that will enable you to deal with challenging situations with empathy and sincerity
