FUNCTION SUMMARY

The Office & Accounting Assistant is accountable to the V-P of Manufacturing with a dotted line relationship to Corporate Accounting. This position also performs a variety of duties supporting day-to-day administrative duties and month-end duties in coordination and harmonization with Septodont’s group of companies and Duoject’s Management team.

DUTIES AND RESPONSIBILITIES

  • Assist in administrating, organizing, archiving accounting documents
  • Assist with preparation and archiving expense reports
  • Manage the petty cash, including foreign currencies
  • Send vendor invoices provided in the mail to Corporate Accounting for processing
  • Support vendor payments as necessary
  • Make trips to bank when necessary
  • In collaboration with Corporate Accounting, develop and implement process improvements
  • Administer requests for credit applications from vendors
  • Work with Design manager to coordinate R&D tax credits and follow-up on various grants.
  • Provides documentation and support for government and year-end audits
  • Ensures all activities are performed with high ethical standards and in compliance with company policies and procedures
  • Observes and supports all safety guidelines and regulations
  • Demonstrates the Company Mission, Vision and Values Statements, policies, and current standard business practices
  • Performs other related duties as required

Required Skills

  • Strong computer skills, specifically MS Office (excel, word, powerpoint)
  • Bilingual, English and French, written and spoken
  • Excellent organization sense/skills; reliable; autonomous; good communication skills, quick problem solver; good at multitasking and managing multiple priorities
  • Excellent interpersonal skills; ability to adapt and to work in an ever-changing/evolving environment

Required Experience

  • Post-Secondary Education
  • Minimum 2 years of experience in an office setting
