Student Services

SAIT Polytechnic is known world-wide as a leader in quality technical education and real-world training for business and industry. SAIT’s Student Services department has an immediate opening for an Administrative Assistant. This position reports directly to the Assistant to the Registrar and requires a broad understanding of the functions, goals and objectives of the department.

Note: This is a temporary, benefits eligible position with an end date of June 30, 2016.

Responsibilities:
Main reception for the Student Services department
Read and distribute incoming mail, faxes and email relating to student requests and distribute to appropriate area of department
Resource to other department staff
Act as confidential secretary to Associate Registrars – includes note-taking functionality
Coordinate ordering of rental vehicles for Department purposes
Ordering of office supplies
Prepares documentation pertaining to expense claims, employee PD requests
Process room booking requests for Executive area of Heritage Hall
Banner entry of Purchase Requisitions
Project work – COR preparation and implementation of recommendations of Audit
Responsible for Key manifest for the department
Responsible for ensuring accurate filing of student records and documents
During peak periods, production of SAIT transcripts, graduation functions including the packaging and mailing of student parchments.
Various research activities

Qualifications:
High School diploma is required.
A Diploma or Degree in Business, Office Administration, or related field is preferred.
2 -3 years’ experience in an administrative role.
1-2 years’ experience working in a registrar’s office of a post-secondary institution is an asset.
Intermediate skills in MS Office (Word, Outlook and Excel).
Previous experience with COR audit an asset.
Strong interpersonal skills.
Records managements skills.
Equivalent combinations of education and experience may be considered.
