SUMMARY

The Human Resources & Project Administrator will support the Maritime Link project team with a variety of human resources and administrative duties.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Work closely with the Human Resources team to coordinate and onboard/transfer project resources from the talent pool in a timely manner;
  • Liaise with union representatives and prepares associated documentation as required;
  • Prepare documentation; schedule and conduct Onboarding/Orientation sessions for union/non-union new hires and liaise with hiring manager and other respective departments for customized requirements;
  • Run ad hoc reports as required;
  • Perform a variety of administrative duties including managing emails, phone calls, couriers, preparing correspondences and binders;
  • Collect and submit timesheets daily ensuring hours and cost codes are correct and all employees are accounted for;
  • Creation and maintenance of filing systems, physical and electronic;
  • Gather and submit required information for daily/weekly field reports (both client and internal);
  • Track and issue project purchase orders while ensuring adherence of PO process;
  • Maintain field PO log/invoice log;
  • Track client deliverables/deadlines, ensuring submissions are completed on time as required;
  • Submit project documentation (outside parties and internally) and track on Project Log;
  • Maintain equipment list;
  • Track quality control deliverables;
  • Record and maintain documentation pertaining to procedures and processes;
  • Provide general support to construction and project management as required;
  • Professionally represents the office by building positive and respectful relationships;
  • Other duties may be assigned consistent with job description.

JOB REQUIREMENTS

  • Strong computer skills including Microsoft Word, Excel, PowerPoint and Outlook;
  • Ability to work collaboratively in a team environment;
  • Professional demeanor, a self-motivated attitude and highly detail-oriented practices;
  • Strong organizational and time management skills to thrive in a fast paced environment with firm deadlines and multiple, concurrent assignments;
  • Ability to work independently and think proactively;
  • Demonstrated ability to exercise sound judgment and discretion when managing confidential and sensitive information;
  • Strong interpersonal and communication skills (both oral and written) and the ability to work well with employees at all levels of the organization.

EDUCATION, EXPERIENCE AND/OR CREDENTIALS

  • Post-secondary completion in Human Resources Management an asset; or a combination of relevant training courses and related experience;
  • Minimum 2 years’ experience in an Administrative position, preferably in a construction environment;
  • Minimum 1 year experience in a Human Resources position, preferably in a construction environment;
  • CHRP or working towards designation an asset;
  • Proficiency with computer applications, including Microsoft Office suite;
  • SharePoint or database experience an asset;
  • Previous work experience in a unionized environment an asset.
