THE OFFICE
The Office of Youth & Young Adult Ministry provides consulting, training and resources in order to start & sustain parish youth ministry. Forming secondary partnership with the school boards, and other lay formations and offering events/programs (One Rock, Youth Rally, World Youth Day, Diocesan Youth Ministry Retreat Team DYRT and diocesan Youth Ministry Commission DYMC).
THE POSITION
The Ministry Assistant provides administrative assistance to this fast-paced, multi-faceted office which requires professionalism; accuracy and attention to detail; exceptional organizational and communication skills; intermediate proficiency in computer and internet technical functions; positive interpersonal skills; ability to multi-task and problem solve; compliance with Ministry and Diocesan Policies and relevant legislation; diplomacy, discretion and confidentiality.
THE RESPONSIBILITIES INCLUDE:
Maintaining Office Management Systems i.e. data-entry, record keeping, contacts, calendars
Preparation of documents and web materials with an eye for presentation/layout and accuracy
Processing bulk mailings and e-mailings
Communicating with stakeholders with appropriate diplomacy, sensitivity and confidentiality
Arranging and attending meetings and taking minutes
Providing assistance to the Director and Coordinators where required
QUALIFICATIONS & EXPERIENCE INCLUDE:
Office Administration Certificate/Diploma and/or 3-5 years professional Office Administration experience
Excellent written and verbal English communication and excellent numeracy ability
Ability to work and communicate with stakeholders at all levels
Ability to practically prioritize work load and manage work flow
Technical skills include Intermediate to Expert proficiency with most MS products as well as experience or aptitude for website content, social media, email campaigns and adapting to an ever-changing technical landscape

WORKING CONDITIONS
Physical ability to do light lifting (20 kg limit)
A reliable vehicle and valid driver’s license would be an asset
Flexibility in work hours for meetings and special events
