RC Bishop of the Diocese of Calgary invites applications for a full-time Administrative Assistant to work out of the Charities and Development Office at the Catholic Pastoral Centre in Calgary.

THE OFFICE – The Development Office is responsible for fundraising, planned giving and events. Charities supports the poor by operating programs (Elizabeth House and Feed the Hungry) as well as providing grants to various eligible registered charities throughout Southern Alberta.

THE INDIVIDUAL – In addition to an energetic, enthusiastic and creative personality, the successful candidate will have 3+ years of office administration experience, preferably post-secondary education in office administration, and a history of continuous learning. The Admin Assistant must be diplomatic, sensitive to donor needs, very organized, have exceptional time management and logistical skills. This person must work effectively in a fast-paced, team-based environment, and possess exceptional prioritization skills. The Admin Assistant is resourceful, thorough, capable of a high degree of verbal and written English communication, have advanced proficiency with MSOffice software (Word, XL, Outlook, Access, PP, Publisher.) in an integrated fashion. Experience with fundraising and event coordination, and database software particularly fundraising database software such as The Raiser’s Edge is preferred. Physical aspects of the work include setup/take down of tables/chairs/ media equipment, etc. for meetings/presentations; assembling, wrapping and transporting prizes/gifts for events;

THE RESPONSIBILITIES – The basic responsibilities for providing Administrative Assistance include:

Providing admin support for all members of the Charities & Development Team

Providing administrative support with planning, organizing and executing for all Charities and Development fundraising events, including solicitation of sponsorships and donations

Providing back up support for all members of the Charities & Development programs as required

Establishing, performing and maintaining efficient and effective office procedures

Supporting the writing, production and distribution of communication collateral including website, event information and annual campaign materials and communication materials for all programs.

Processing and monitoring the distribution, collection, review of grant applications, the resulting decision and funding agreements.

Providing positive customer service to clients, donors, volunteers, suppliers and staff relations

Communicating professionally and effectively with all internal and external customers

Communicating professionally and effectively with funded or interested community and social agencies relative to funding and other matters pertinent to the mission, mandate, goals and objectives of Charities & Development.

Handling confidential information in an appropriate and professional manner

Ensuring the security/confidentiality of all donor information and monies received.

Maximizing effectiveness of Raiser’s Edge, MS Office and other software and resources in an integrated fashion to produce and maintain communication documents, lists, labels, mail-outs, reports, statistics, and volunteer data, etc.

Attending department meetings, recording and distribution of minutes

Familiarity with provincial and federal regulations concerning the activities of a Charity
