The Opportunity: Administrative Assistant, Vancouver (6 month contract)
Reporting to the local team lead, the Administrative/Manager Assistant is responsible for supporting the day-to-day business activities of a team of practice staff in their Line of Service (LOS). Critical attributes of this position include: a positive, proactive “can do” attitude and excellent customer service, interpersonal and communication skills. Attention to detail, the ability to handle multiple priorities and flexibility to adapt to changing demands and deadlines are essential.
This resource will be responsible for the following initiatives:
Document production – Produce client and firm documents (correspondence, reports, proposals, presentations, etc.) that display accurate typing, editing (spelling, proofreading, punctuation and grammar) as well as consistent formatting that adheres to PwC templates and firm branding standards
Coordination – Prioritize work and balance competing demands from managers to ensure deadlines are met; coordinate document processing and final production or printing of documents and large photocopy jobs with internal sources to ensure on-time delivery
Calendaring – Has access to manager’s calendar, knows manager’s whereabouts and availability; books appointments and meetings on manager’s behalf
Meeting logistics – Coordinate internal and external meetings and appointments (sends meeting invitations) and prepare all required materials and logistics (books/confirms room, catering requirements); arrange conference calls and distributes call-in details
Administrative – Book travel arrangements, prepares expense reports, faxing, photocopying, scanning and printing of documents, sorting and distributing of incoming mail, filing. Update Client Relationship Management database. During extended manager absences, provide additional support for e-mail, telephone and other administrative duties (as requested)
Other projects or deliverables – Examples might include: client, industry, firm, charitable or practice development projects, initiatives, activities or events that the manager may be responsible for (within limits)
Requirements:
3-5 years of experience in a similar role ideally in an accounting or professional services firm
Experience in supporting up to 7 Managers at once
Strong proficiency in Word, Excel and PowerPoint
Ability to work under pressure and meet tight deadlines
Organized and detail oriented
