JOB OVERVIEW

Ontario Power Generation (OPG) is looking for a dynamic, professional

Administrative Assistant to Support lawyers within OPG’s Law Division.

Reporting to a combination of Senior Counsel and Counsel, the

Administrative Assistant

will be responsible for the day-to-day administrative support of the lawyers and their department in such areas as amending comprehensive agreements, effecting filings with the Courts or administrative tribunals, correspondence, meeting arrangements/scheduling, time management, information maintenance, travel arrangements, expense reports and general office support. Duties may include:

Produce or process correspondence covering a broad array of routine and confidential subject matter including legal memoranda and opinions, reports, submissions for approval of budgets

Word processing of amendments to agreements

Tracking litigation milestones and effecting filings with the Ontario Superior Court, the Federal Court or with administrative tribunals

Make all necessary arrangements for meetings including the preparation of agenda, acquiring of meeting room, arranging for audio-visual or other equipment, preparing and issuing meeting notices and hand-outs etc.

Ascertain agenda items for scheduled meeting by canvassing staff and participants. Develop agenda and;

Make all necessary travel and accommodation arrangements following appropriate travel policies, including obtaining appropriate approvals for out of province and out of country travel.

Review forms, reports and other forms of information to be processed (time reports, expense reports, computer output reports etc.) for conformity to all governing requirements (policies, collective agreements, human resources policies and procedures etc.,) where pertinent, for accuracy of calculations, for account distribution and the like.

QUALIFICATIONS

College diploma or certificate in office administration, executive administration or office assistant.

5-8 years of administrative experience supporting lawyers in a private law firm or an in-house legal department or senior managers in a broad range of office functions

Software proficiency – including Word, Excel, PowerPoint, Outlook and Access

50 wpm keyboard skills with a high degree of accuracy

Excellent oral and written communication skills

Excellent knowledge of general office procedures and practices

Demonstrated ability to handle confidential material and information with discretion

Good organizational skill

Demonstrated ability to work independently

Demonstrated ability to adapt to changing office environments and assignment levels

Excellent proofreading skills

Demonstrated ability to exercise mature judgment and initiative
