Our Vancouver office is located near the waterfront in downtown Vancouver. Position Summary

The Receptionist is responsible for the efficient and courteous operation of Northbridge Vancouver office switchboard, handling all types of incoming, outgoing and intra-system calls and directs callers to the appropriate individual, department, location or service.

As the initial point of contact for callers, the receptionist greets all clients and visitors in a friendly, helpful manner and projects a favorable Company image at all times.

The Receptionist establishes and maintains a good working relationship with all departments and offices of the Company. In addition, this role shares in team commitment to continuously focus on innovative ways of meeting customer’s needs through the provision of excellent quality service.

What you will be doing:

Reception / Customer Service:

  • Receive/retrieve/relay incoming calls and voice messages and direct to appropriate staff member in a friendly and professional manner.
  • Greet and attend to all visitors upon arrival and direct them to the appropriate company contact.
  • Maintain up-to-date telephone extension and department directory to facilitate accurate direction of telephone calls.
  • Troubleshoot switchboard system and request technical support as required.
  • Maintain an up-to-date reception procedures manual, files and resources in current and orderly condition for quick reference as needed.
  • Maintain a neat and professional reception and boardroom area.
  • Train staff for switchboard relief as needed.

Office Services:

  • Issue and collect temporary security passes for guests and employees and log all activity.
  • Accept special delivery/priority mail and incoming packages and arrange for outgoing courier services.
  • Contact building tenant services regarding security, heating and building maintenance issues.
  • Monitor Office Services e-mail inbox and direct inquiries to team for handling.
  • Provide back up and assist co-workers in eliminating backlogs when necessary.


  • Provide administrative support including basic document processing, record keeping and report preparation.
  • Perform data entry and assist with special projects as needed.
  • Place orders for supplies, flowers, gift baskets and transportation services, etc.
  • Verify, reconcile and code courier and supplier invoices.
  • Other duties as assigned.

  • Responsive, resourceful and customer-centric outlook.

What sets you apart:

  • Experience with switchboard and/or customer call handling.
  • Ability to interact in a highly diplomatic and courteous manner, in both spoken and written word.
  • Strong keyboarding and computer skills, proficient in PC oriented environment using Microsoft Office, email, internet and varied databases.
  • Ability to learn and adapt to changing technical and procedural environments.
  • General knowledge of insurance business an asset.
  • Able to work as an effective team member.
