The following Regular Full-time position has become available at the Board of Education Office

effective immediately. The Records Management Clerk provides assistance and coordination

to district staff in the management of district records and information.

JOB FUNCTIONS:

 The Records Management Clerk reports to the Secretary-Treasurer or designate.  Scans, indexes and organizes district records for electronic archiving  Maintains a records management system  Assists, as needed, in responding to FOIPPA requests in order to compile timely, complete, and

accurate responses.

 Catalogues and expedites disposal of paper and electronic records upon expiry of retention period  Receives, sorts, codes, enters and verifies data for archiving.  Maintains a day by day productivity log of scanning and indexing activities.  Sorts or classifies information according to guidelines such as content, purpose, user criteria, or

chronological, alphabetical, or numerical order.

 Provides general clerical, data entry and word processing support to the board office.  Provides relief coverage for board office reception.  Other comparable or transient duties which are within the areas of knowledge and skills required by

the job description may also be assigned.

QUALIFICATIONS & EXPERIENCE:

 Grade 12 graduation.  Successful completion of a one year certificate program in Records Management, Business

Administration, Office Management or equivalent combination of relevant training and experience.

 Knowledge of office procedures, including computerized records management system that enables scanning, profiling and retrieving of documents.

 Minimum 2 years recent clerical experience.  Advanced proficiency in the use of computer software programs and related equipment.  Ability to use initiative in implementing new procedures regarding records management & storage.  Employ good judgement, organizational and time management techniques to meet deadlines.  Capacity to maintain a calm demeanor and think clearly in difficult, stressful, or troubling situations.  Ability to be self-motivated, retain concentration, and work independently.  Ability to apply common sense understanding to carry out instructions furnished in written, oral, or

diagram form.

 Ability to work with limited direction and to use discretion in responding to complaints and enquiries  Excellent interpersonal and communication skills.  Ability to establish and maintain good working relationships with staff, parents and members of the

community.

 Ability to lift boxes of medium weight (up to approximately 25 lbs.).

HOURS OF WORK & SALARY:

35 hours per week, Monday – Friday, at the rate of $25.65 per hour.
