New Star Capital is seeking an Office Administrator for a 1-year contract (maternity leave coverage) to join its accounting team located at its head office in South Edmonton. The Office Administrator will report directly to New Star’s Controller.

Responsibilities and proficiencies will include, however are not limited to:

Cradle-to-grave accounts payable accountability for over 25 companies including:

  • Receiving, reviewing, follow-up of vendor invoices;
  • Coding and processing vendor invoices;
  • Verifying appropriate approvals of vendor invoices;
  • Reconciling vendor accounts;
  • Preparing cheque runs;
  • Reviewing accounts payable ledgers.

Credit card reconciliations:

  • Collecting, reviewing and matching receipts for 6 company credit cards;
  • Coding charges;
  • Verifying appropriate approval of credit card purchases;
  • Preparing the credit card statement for payment within deadlines.

Accounting support:

  • Daily sales reports – printing, reviewing for completeness and directing reports to appropriate staff member;
  • Assistance with accounts receivable invoice generation;
  • Assistance with calling customers regarding accounts receivable collection;
  • Assistance with credit application review and credit reference checking;
  • Updating capital asset schedules in excel and upkeeping electronic invoice files monthly.

Office administration:

  • Making bank deposits;
  • Support for President, Regional Managers and General Managers as required – including creating and ordering business cards, creating event invitations, finding documents, etc.
  • Filing, organizing and general professional office organization;
  • Distributing mail;
  • Managing the phone system, photocopier and stamp machine;
  • Responding to general company email, faxes and phone calls and directing as appropriately;
  • Creating and advertising sales material and job postings;
  • Social media monitoring, updates and responses;
  • Order office supplies and computer equipment as needed
  • and reconcile receipt of product with invoices;
  • Purchase and stock kitchen, bathroom and common area items;
  • Keeping track of vehicle logs, maintaining databases.

Qualifications:

  • Accounts payable experience is an asset;
  • Experience with Sage 300 ERP or similar accounting software is an asset;
  • Intermediate to advanced experience with Microsoft office software (Word, Excel, Outlook) required;
  • Diploma in Business Administration or similar is required.

Compensation is based on experience and education and includes a comprehensive benefits package.
