Job Description

We are looking to fill a permanent receptionist position at our Moncton, NB office. Under the supervision of the Principal Director, the receptionist will perform administrative and secretarial duties to ensure the smooth functioning of the office. Responsibilities: – Reception duties, greeting visitors and clients. – Opening and distributing office mail and coordinating couriers. – Typing, editing and formatting project documents and correspondence using MS Word. – Document control. – Faxing, photocopying, scanning and binding documents. – Creating and editing spreadsheets using MS Excel. – Maintaining databases and filing systems. – Coordinating teleconferences and meetings for staff and clients. – Organizing travel arrangements. – Ordering office supplies as needed.

  • Respond to all inquiries by phone or email. – Contribute to the team effort by performing other related duties.

Candidate Specification

  • Hold a technical diploma in secretarial or related field.
  • Have a minimum of two (2) years’ experience in reception/office administration.
  • Excellent computer skills, including MS Office and Adobe Acrobat.
  • Excellent command of MS Word including formatting and templates.
  • Excellent follow-up and organizational skills.
  • Ability to multi-task and reprioritize depending on workload.
  • Excellent verbal and written communication skills.
  • Self-motivated and quick learner.
  • Keen attention to detail which ensures that your work is always completed to the highest degree of accuracy.
  • Ability to handle a fast paced environment with ease and remain calm under pressure.
