Reporting to the Associate Dean, Media and Entertainment, this position provides administrative support to a number of special initiatives and functions within the Music Studies department. The main responsibility of this position is to provide customer service support for students, faculty and staff. The incumbent will be expected to trouble-shoot activities related to student and faculty issues, as well as provide support and coverage to key positions within the department. The incumbent must be able to work effectively in a fast-paced environment, prioritize tasks, and exercise independent problem-solving and decision-making skills in the execution of the various activities and issues.

RESPONSIBILITIES:

Coordinates equipment and instrument repair, inventory of equipment, piano tuning and moving, and sheet music inventory and classroom inspections.

Develops and distributes faculty & student ensemble schedules each semester, troubleshoots scheduling conflicts, advises students on registration issues.

Assists support staff with Music audition preparations, mail outs, collection of funds, record maintenance, and serve as main point of contact for general audition inquiries

Assists with the logistics for a number of special events, including but not limited to Music Performance Classes, Tuesday Night Music School, Master Classes, Jazz fest, and advisory committee meetings.

Coordinates all PT timesheet submission

Coordinates with Financial Assistance for Campus Student Employment position each semester

Assist faculty with daily operations tasks such as photocopying, filing, mail outs, mail etc… Files and maintains accurate department and student records such as grade changes, incomplete forms, field placements packages etc.

Maintain department’s social media sites (Twitter, Facebook, YouTube) promoting upcoming events & performances involving music students, faculty and alumni

QUALIFICATIONS:

A minimum of two-year post-secondary education in Office/Business Administration; related field; or equivalent combination of education and experience

Must have at least 3 years related work experience, ability to multi-task in a fast paced environment, cope with multiple deadlines and meet departmental priorities

Excellent customer service skills and client relationship building skills

Advanced computer Knowledge in MS Word, Excel, PowerPoint, Access, internet research and e-mail correspondence.

Excellent organizational skills

High degree of problem solving, judgment and decision-making abilities required

Exceptional interpersonal communication skills to deal with clients, community partners and stakeholders and the general public

Ability to work independently with little or no supervision

Flexibility in working hours throughout the year is necessary to meet deadlines & changes, some evening and weekend work is required

Self-starter, comfortable with establishing own priorities

or proceed with Standard Application Form.
