The Human Resources & Labour Relations Assistant is responsible for providing confidential administrative support to the Directors of the Human Resources branch. The incumbent is responsible for coordinating/organizing activities and documentation on labour and employee relations issues and functions flowing from the Directors, and all other consultants working within the Human Resources Branch. This includes gathering, analyzing, preparing and scheduling grievances and/or arbitrations; maintaining various labour relations files; analyzing and assisting with activity statistics and reports.
The duties of this position will include, but are not limited to the following:
Provides confidential administrative support for a number of employee and labour relations tasks. Tracks and coordinates complaints, grievances and arbitration processes. Uses own initiative to monitor and ensure adherence to timelines, maintains computerized grievance records, schedules time and content sensitive appointments and meetings, assists with research, assists with the preparation of materials for grievance meetings and arbitration hearings, follows up on decisions and settlements and processes appropriate implementation paperwork as required.
Acts as secretary for labour management meetings as required, assisting with the collection and follow up of items, organizes meetings and prepares and distributes agendas and minutes.
Maintains efficient office systems and procedures in the activities in the office of the HR directors, maintaining accurate and reliable record and retrieval systems.
Assists with the gathering of data for presentation of grievances, arbitrations and collective bargaining.
Assists in the research and development of various materials required for training and/or orientation purposes.
Works with the Workforce Analyst in ensuring timely and accurate cyclical reporting mandated under the collective agreement requirements or by external bodies such as the College Employers Council and the Ministry.
Provides general administrative support to Occupational Health & Safety Consultant, including coordination of training sessions, follow up on testing, the management of the incident reporting database.
Perform other duties as assigned.
The successful applicant must have:
A minimum of three (3) years’ experience in a similar role, in a diverse unionized and non-unionized environment
Knowledge in Human Resources and Labour Relations combined with excellent knowledge of human resource functions and pertinent legislation
Experience maintaining confidential files
Excellent communication skills – verbal & written with the ability to communicate at all levels of the College
Excellent planning and organizational skills to effectively co-ordinate HR activities and programs
Detail orientation with experience managing multiple tasks and conflicting priorities
Superb computer literacy in MS Office. Experience working with Banner and/or a HRIS preferred
A two year/Diploma/Certificate in Human Resources/Labour Relations, Business with Human Resources/Labour Relations, Office Administration or a related discipline, or equivalent combination of education and experience
