Position Overview

Our downtown Oil & Gas client is looking to bring on board an IT Vendor Manager on a contract until summer 2016. The Vendor Manager’s role is to create successful, measurable, sustainable business outcomes with valued partners, while mitigating risk. Additionally, their role is to ensure the vendors perform, create value and enable service delivery through innovation and partnership with Information Services (IS), our client’s business and the vendor community.

The Vendor Manager works closely with all IS vendors, having day-to-day responsibility for the quality and cost effectiveness of the vendor’s services. The Vendor Manager performs oversight to vendors through governance, and a combination of performance and relationship management.

Note this contract begins in Oct 2015 and is schedule to go until July 2016 for now.

Responsibilities

GOVERNANCE – Ensuring Execution of Vendor Governance (40%):
Aligning vendor delivery to create Business Value and Outcomes
Executing Relationship Management
Managing Vendor Performance
Ensure the vendor delivers according to commitments and intent in contracts (intent covers the spirit of the Agreements in that not all commitments are measurable – for example continuous improvement targets)
Managing the Risk of working with Vendors
Identifying vendor risks and understanding the overall risk profile of a vendor
Escalating risks appropriately as they become issues
Maintaining a risk log
Recommending and facilitating strategies and actions to mitigate identified risks
Facilitating the activities of Vendors participating in our client’s Innovation Council
Sharing our client’s roadmap and soliciting innovative vendor solutions
Promoting a culture of continuous improvement vendor services
Management Reporting
Agreed upon KPIs
Vendor scorecards and dashboards for both operations and management

FACILITATION & ENGAGEMENT (30%):
Issue escalation and resolution facilitation
Change management
Assist with organizational change management, as it relates to vendor engagements
Statement of Work (SOW) accountabilities
Influencing the development of Statement of Works and reviewing final drafts
Assessing the delivery against the contract (governance of the SOW)
Reporting – ongoing
Reporting on issues escalation resolution and get well plans
Compliance
Facilitate compliance to approved processes

OPERATIONAL ACCOUNTABILITIES (20%): A
Asset Management
Renewals Management as part of overall vendor lifecycle
Financial Management
Reporting (as requested)
Financial remediation – Monitor outstanding payables and payments
Advisory services based on total cost of ownership
Management meetings – Operational, governance, etc.
Statement of Work (SOW)/Contract facilitation
Advisory of demand management
Risk Management
Classification of vendors at risk – key personnel have left, org risk, acquisitions, dramatic financial changes
Proactively monitor risk throughout the life of the relationship

SOURCING STRATEGY (10%):
Continuous review and assessment of vendor community
Opportunities to strategically aggregate spend
Market knowledge and data
Competitive supplier information
Business unit needs and expectations
Matching of business unit needs, vendor capabilities, vendor risk to create vendor marketplaces – PSL’s
Advisory to IS and our client’s business

ADDITIONAL POSITION REQUIREMENTS:
Must have good working knowledge of Microsoft systems (Excel, WORD, PowerPoint, etc.); MS Projects an asset.
Experience working with Contract Terms & Conditions
Proven ability to effectively communicate between organizational groups & levels; as well as strong abilities in understanding work environment within a large enterprise and navigate potential political barriers
Strong ability to make good decisions regarding complex issues with limited information
Excellent customer and vendor relationship and organizational skills
Excellent customer relations while dealing with vendors, accounts payable and management
Excellent written and oral communication skills
Strong communication skills with confirmation of understandings & commitments

Requirements

7 Yrs. – Vendor management
7 Yrs. – IT experience in Oil & Gas
5 Yrs. – Proven experience working with medium-to-large sized vendors in an oversight capacity
University Degree (Computer Science, Business or related discipline)
3 Yrs. – Benchmarking or Performance Management

Nice to Have
3 Yrs. – Experience with RFx Process
ITIL Foundations
Master’s Degree in Business Administration (MBA)
