We currently have the following position available: Office Services Assistant (18 month contract). Hours of work are Monday to Friday, shifts during operational hours from 8:00 am to 5:30 pm. Summary of Position:

This is a 18 month maternity leave contract role starting April 2018 and ending November 2019. Reporting to the Supervisor of Office Services, the Office Services Assistant is responsible for the Mailroom and Facilities services. In addition, the position is responsible for the AV and VC set-ups for office meetings and events.

Facilities Duties:

  • Prepare workspace for staff arrivals, departures and moves
  • Prepare workspace for visitor arrivals and departures
  • Assist with small office moves
  • Maintain internal box storage inventory
  • Monitor Set up/tear down portable boardroom furniture
  • Set up/tear down AV equipment, including Video Conference Calls
  • Maintain AV inventory
  • Assist with special projects as required which may include occasional overtime
  • Respond to daily internal facilities requests
  • Other duties as required

General Office Services Duties:

  • Open and sort incoming Canada post and internal mail. Process outgoing mail
  • Receive and distribute incoming couriers. Process outgoing couriers
  • Imaging: prepare, copy, collate, scan legal copy material
  • Equipment: monitor equipment and coordinate repair
  • Order supplies/maintain supply rooms
  • Send outgoing faxes and distribute incoming faxes
  • Other duties as required

  • Intermediate skill in Microsoft Word, Excel and Outlook
  • Excellent communication and interpersonal skills
  • Flexibility to work in all areas of Office Services
  • Flexibility to work various shifts within hours of operation and also outside of these hours for special projects
  • Excellent attendance and punctuality
  • 1 – 2 years office and/or customer service experience preferred
  • Ability to lift up to 40lbs
