Under the direction of the immediate supervisor, organizes details of homecoming, signature, donor recognition and other engagement initiatives. Organizes, distributes and verifies the work of others and participates in their training. Liaises with clients to determine requirements. Coordinates arrangements and ensures the smooth functioning of these events. Maintains records. Monitors and administers operating fund or accounts.
1. Respond to customer enquiries to provide information on unit’s products and services. Assists customers in locating and ordering the unit’s products.
2. Verify confirmation letters against registration forms
3. Follow-up by phone, email and fax with hundreds of registrants
4. Answer event related questions by email or by phone and take registration over the phone
5. Coordinate arrangements such as locations, room bookings, setups, cleanliness, staffing, seating, food and bar service and equipment rentals.
6. Prepares items such as name tags, lists of attendees and agendas.
7. Follow-up with Faculty staff to garner names of their event guests
8. Compile, pack and store gift bags for event presenters
9. Stuff ticket envelopes (tickets, nametags, and other documents)
10. Guide and support work study students as required
11. Assist at events (some weeknight and weekend work may be required)
12. Liaise with alumni, parents and friends to determine requirements and confirm arrangements.
13. Ensures proper maintenance of registration filing system, ensuring PCO compliance.
14. Serve as point person at various events
15. Organize, liaise with and assist volunteers
16. Resolve problems re registrations, tickets, unhappy guests, etc.
17. Other related event duties

Qualifying skills and abilities
· Excellent knowledge of Microsoft Office
· English, spoken and written; French spoken (written an asset)
· Ability to use online registration system
· Must be client-focused and service-oriented with a demonstrated ability to listen and assist alumni and others
· Demonstrated ability to transmit and receive information accurately
· Emphasis on soft skills and problem solving.
Education/Experience
DEP (Secretarial/Office Systems) Three (3) years related experience.
For this 15 week contract, McGill University is offering $17.11/hr.
